Enrollment Services Representative

Widener University is currently seeking an Enrollment Services Representative in Bursar Dept/Enrollment Services. This role reports to Assistant Bursar and provides support to Bursar.

The Enrollment Services Representative is responsible for assisting all University clientele with transactions for Financial Aid, Bursar, Registrar, One Card. In addition, individual is responsible to answer a wide variety of questions posed by potential and current students, staff, faculty and visitors to the University.

DUTIES AND RESPONSIBILITIES (including, but not limited to) :

Essential duties:
  • Understand the functions of the Financial Aid, Bursar, Registrar and One Card Offices.
  • Check on students' financial aid, process add/drop of classes for the Registrar, add meal plans, issue parking decals, issue student employment contracts.
  • Assist with payment processing.
  • Advise students, staff and special program participants regarding financial status processes, procedures, and requirements; advise on alternative courses of action and consequences.
  • Initiate, review and update student accounts for financial assessment and payment transactions.
  • Assist in the assessment of tuition, fees, housing and dining interface, and miscellaneous charges.
  • Assist with the preparation and reconciliation of daily cash receipts and students disbursements and provide documentation to financial accounting office.

Secondary responsibilities:
  • Facilitate and process payments and receipts.
  • Data enter course schedules as needed.
  • Dispense student work contracts.
  • Receive, process, and disburse all pertinent Enrollment Management forms.
  • Receive and process Campus One Card payments.
  • Instruct students on Web-based transactions, resolve holds on student records and other duties as assigned.
  • Provide daily customer service to all, including students and parents walk-ins and phone calls.

MINIMUM QUALIFICATIONS (education/training and experience required) :

Required:
  • High School Diploma or equivalent.
  • A minimum of three years of customer service experience in an office environment.
  • Excellent communication and organizational skills.
  • Attention to detail.
  • Must possess a high level of diplomacy, tact and confidentiality with students and faculty.
  • Proficient in the use of Microsoft Office.
  • Demonstrated ability to utilize a personal computer, applicable software, e-mail and the Internet.
  • Must be organized, flexible, and able to handle multiple tasks simultaneously.
  • Superior interpersonal skills and excellent oral and written communication skills.
  • Demonstrated ability to interact effectively with students, staff, faculty and external constituents.

Preferred:
  • Experience using Ellucian/Colleague
  • Customer service experience

PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:
  • Job requires employee to sit, stand and work behind a computer for long periods of time. Employee will receive professional development education hours each year. May be required to work special university events on a select weekends in the spring.
