University Center Reservationist (Part-Time)

Widener University is currently seeking a part-time University Center Reservationist. This part-time role reports to the Executive Director of Campus Engagement and Student Programs and will serve as the point of contact for facility coordination and reservations related to the University Center, Alumni Auditorium, Lathem Hall, and all outdoor event spaces. Additionally, the Reservationist will coordinate the delivery of essential services to campus community members by serving as a liaison to the Operations Department, Housekeeping Services, Dining Services, and Campus Safety Department. This is a part-time position paid at 20 hours per week.

DUTIES AND RESPONSIBILITIES (including, but not limited to) :

Essential duties:
  • Utilize the 25Live software system to manage and approve facility reservations related to the University Center, Alumni Auditorium, Lathem Hall, and all outdoor event spaces; track reservation changes and communicate as needed to all parties involved
  • Maintain and distribute files and reports of facility reservations and requested changes
  • Deliver excellent customer service to members of the Campus Community as they interact with the University Center Administration area by interpreting all reservation policies and procedures and facilitating related operating tasks
  • Answer the main office telephone line, answer inquiries, screen and route callers, and reply to questions in accordance with office procedures and policies; transmit instructions or information to or from the appropriate professional staff members; ensure the proper maintenance of all office equipment
  • Consult with members of the Campus Community to discuss meeting or event objectives and determine the most suitable date, time frame, location, and setup to achieve maximum guest satisfaction
  • Check all meeting rooms and scheduled event setups for accuracy and neatness; manage scheduling conflicts and last-minute request as they arise
  • Participate in bi-weekly Facilities meeting and communicate event details and requirements to all participants; prepare reservation reports for current and upcoming weeks
  • Manage the electronic calendar and scheduling function for the Executive Director and other department professional staff as needed
  • Maintain all student staff shift and logistics schedules to ensure the delivery of excellent customer service related to event management and oversight; manage student payroll data entry
  • Coordinate with Information Technology Services to troubleshoot 25Live software issues or schedule the installation of software updates and patches as needed
  • Assist with the coordination and maintenance of scheduled or pending student activities related to all areas of the Office of Student Engagement; attend and provide support to select events
  • Update Facility Reservation and Event Planning Guide, as needed

MINIMUM QUALIFICATIONS (education/training and experience required) :

Required:
  • 2 - 3 years of secretarial experience in a service-oriented environment or any combination of experience, training or education, which provides the necessary skills and knowledge
  • Mastery of Word, Excel, PowerPoint, desktop publishing, and internet search software
  • Excellent communication skills (i.e. grammar, vocabulary) to be applied to telephone and written communications such as email, letters, and memos
  • Superior interpersonal skills with a demonstrated ability to interact effectively with students, support, and professional staff in a high-volume office

SCOPE AND COMPLEXITY OF POSITION
  • Valid state driver's license
  • Decisions are limited to daily work duties
  • Duties require ability to create and carry out plans; ability to exercise judgment, discretion and initiative in performing a variety of tasks; perform duties and responsibilities in the absence of close supervision
  • Responsible for coordinating or leading the work of a group of student employees as required. May be asked for input regarding employees
  • Occasionally handles confidential information
  • Position requires general knowledge of future work and projects requiring moderate planning
  • Regular contact outside the department/university involving routine exchange of information
  • Heavy walk-in traffic; high level of interaction with others in person; high level of interaction with others electronically or via telephone

PHYSICAL REQUIREMENTS AND/OR UNUSUAL HOURS:
  • Must be available from 8:00 a.m. - 1:00 p.m., Monday through Friday
  • Lifting up to 25 lbs.
  • Frequent walking, standing and climbing stairs
  • Good manual dexterity
  • Usual office environment: routine sitting at a desk occasionally standing, bending, stooping or kneeling
  • Ability to be mobile between workstation and other buildings on campus
