Under the supervision of the ELI Director at UCSD Extension, the Academic Coordinator oversees the administrative aspects, coordination, and program implementation of Short-term and Custom programs for Extension's International Programs division. This involves academic program planning and implementation, assessment of the program and constituency needs, and evaluation of academic program activities and functions. The Coordinator will hire and supervise part-time instructors for each program, including careful initial training, formative meetings, constructive feedback, and communications which achieve positive outcomes. The Academic Coordinator is responsible for maintaining and protecting the academic integrity of the programs in order to provide the best possible student experience.

The incumbent must be willing to have a flexible work schedule for occasional necessary evening or weekend work and must also demonstrate flexibility, stamina, leadership, and poise in order to deal effectively with immediate challenges and to be proactive in avoiding future challenges.

Primary responsibilities:

  • Provide intellectual leadership and scholarship to programs by determining the curricular needs of students, especially in the creation of new courses, programs, and services in response to changing demographics and needs of the students.
  • Demonstrate a high level of professionalism, clarity, and accuracy in written and spoken communication.
  • Demonstrate professionalism and a calm demeanor in addressing and resolving challenging situations with student, staff, instructor, or curriculum issues adhering to established policies and procedures of ELI, Extension, and UC San Diego.
  • Create program schedules, deliverables, and teaching assignments from detailed budgets, exercising a high level of scrutiny and attention to detail.
  • Coordinate multiple programs with simultaneous and overlapping dates and activities.
  • Maintain excellent communication with the ELI Director and Operations Manager for various program-related items, scheduling of full-time instructors, performance of routine program evaluations and recommendations, and communication of conduct or work-failure issues.
  • Manage room needs for Short-term and Custom programs.
  • Plan and oversee new student orientation, testing and placement, scheduling of students; plan and lead the Closing Ceremonies for each program.
  • Implement student evaluation and feedback of courses and instructors.
  • Develop and enforce academic policies and procedures for the Short-term and Custom programs.
  • Remain current in best teaching practices and materials for teaching ESL.
  • Participate in the hiring, supervision, routine observation and evaluation of part-time instructors.
  • Coordinate with the ELI 8-week Academic Coordinator in managing tasks for the Program Assistant.
  • Participate with the International Programs team to ensure compliance with CEA accreditation requirements.
  • Be available daily to the students and instructors to address any problems that may occur during the program, including student conduct issues.
  • Maintain internal database for reporting grades, schedules, and program set- up.
  • Assist in the planning of instructor professional development sessions, faculty orientation, and instructor meetings as needed.
  • Select and purchase instructional materials, make guest-speaker and excursion arrangements, and purchase goods and services as needed for the Short-term and Custom programs, adhering to the planned expenses for the programs in the department and in individual program budgets.
  • Provide support as needed to 8-week ESL programs, particularly during new-student intake.
  • Teach ESL classes as needed (e.g., during periods of low enrollment/cost-cutting, when a substitute teacher cannot be found, and to remain current in ESL teaching skills).
  • Other duties as determined by the ELI Director to address program, department, and division needs.

    REQUIREMENTS

  • Qualified applicants must hold at least a Master's degree in TESOL, TEFL, Applied Linguistics or a related field.
  • 8 years of successful ESL teaching, with experience across all skills and proficiency levels (beginning to advanced)
  • 3 years of successful experience managing ESL programs

    PREFERRED

  • Experience coordinating a complex calendar of classes, events, and activities
  • Experience in curriculum development/revision for ESL courses
  • Experience in recruitment, selection, and supervision of a pool of ESL instructors
  • Excellent writing/editing and speaking skills for formal, academic contexts and for recruitment and promotional work
  • Excellent interpersonal and intercultural communication skills
  • Experience managing budgets for expense control and compliance
  • Demonstrated strong or potential accomplishments in areas contributing to diversity, equity and inclusion, and a desire to play a leadership role in advancing UC San Diego's commitment to achieving excellence and diversity
  • Overseas ESL teaching experience
  • More than 5 years of experience in ESL program administration
  • Demonstrated experience providing recommendations to marketing specialists

    COMPENSATION AND APPOINTMENT

    Starting salary of $63,564 to $80,408/year at the Academic Coordinator I level and commensurate with qualifications and experience. The initial period of employment will go from hire date to June 30, 2021 with renewable 2-year appointments possible thereafter. This position is eligible for full UCSD health/welfare benefits as well as participation in the University of California Retirement Plan pension OR 401k-style plan and will receive monthly vacation accruals at 16 hours per month, equivalent to 24 days per calendar year.
