Admissions Coordinator

Reports To: Manager of Operations and Admission Systems
Position Type: Full-time, Support Staff
Standard Hours: 40 hours / week
FLSA Status: Non Exempt
Classification:Support Staff

Summary:
The Admissions Coordinator will assist in all aspects of the Admissions Office and work closely with prospective students and families. The primary duties of this position include scheduling and coordinating campus visits, answering the College switchboard and assisting callers and prospective students with questions about the institution. In addition to these responsibilities, the Coordinator will also collect and compile admissions recruitment data contributing to the overall assessment of Keuka College's recruitment as well as complete any clerical and data entry projects, as assigned.

Essential Responsibilities:
• Provide general information about the College and its offerings to Admissions visitors and callers.
• Provide administrative support for the Director and Manager of Operations and Admissions Systems. Responsibilities may include but are not limited to: greet/receive visitors, answer and screen incoming calls, processing of incoming and outgoing mail, maintaining calendars/schedules
• Responsible for setting up prospective student visits and campus tours (communications/follow-up to include updating Recruiter, phoning and emailing student visitors, assigning staff interviews, delegating tour guides, and issuing meal tickets as needed)
• Assist with Recruiter and Colleague data entry related to all facets of admissions funnel, from suspect to applicant, adding records to system, updating addresses and bio/demo data, coding records as registered and attended for all events and visits, receiving supplemental items to complete applications, verifying accuracy of data, compiling data for mailings to prospective students and other data entry projects as assigned
• Maintain and oversee the reception lounge, reception center
• Manage Rise Vision (the television monitor that lists upcoming events and daily visitors)
• Greet and/or meet visitors as the first contact or as the referral point through Admissions, via phone, in person and by directing calls across the institution
• Assist in all aspects of weekend campus visit events/special events, etc., when needed, including but not limited to: managing event registration, printing name tags, and registration lists, and post-event coding
• Serve as a \"goodwill ambassador\" to current students, faculty, staff and other community members and constituents of the College
• Administer campus visit surveys, track and analyze results
• Effectively communicate with faculty and coaches about visit requests for prospective students
• Track, record, code and chart all campus visits, open houses and admissions activities
• Ensure that admissions counselors are kept informed of campus visitors and critical updates from their territories during the travel season
• Assist with processing incoming mail, email and voicemail messages
• Maintain and order office supplies and various swag items for prospective students.
• Responsible for ensuring that assigned tasks are completed in compliance with various institutional and regulatory requirements.
• Maintain a professional and courteous attitude at all times towards co-workers, internal and external customers, representing Keuka College, its programs, policies, and procedures in a positive and professional manner. Maintain effective working relationships to ensure institution-wide teamwork.
• Attend provided/necessary training and other meetings to support effectiveness within the position as required.
• Consistently demonstrate high standards of integrity by supporting the Keuka College mission, vision, and values and adhering to institutional policies.
• Maintain a high regard for student privacy in accordance with the FERPA privacy policies and procedures.
• Regular and reliable attendance is expected and required.
• Perform other functions as assigned by management.

Minimum Qualifications:
1. High School Diploma/GED required Bachelor's Degree preferred.
2. Strong organizational skills, self-motivated and detail-oriented.
3. Desire to work in a team environment.
4. Excellent interpersonal, customer service and communication skills.
5. Aptitude for hospitality, open-mindedness, flexibility, and the ability to multi-task.
6. Positive outlook and ability to relate to students and parents in their college search process.
7. Computer experience required. Demonstrated proficiency in Microsoft Office and ability to be trained to effectively use College data enterprise systems.
8. Ability to effectively communicate both verbally and in writing.
9. Understand and behave with a high level of integrity and complete confidentiality at all times.
10. Ability to be sensitive to and respond to needs/concerns of students, faculty, college staff and the public.
11. Ability to work under pressure with a high tolerance for interruptions, and the ability to work with diverse groups of people.

Physical Requirements:
• Some evening and weekend hours may be required.
• Occasional lifting up to 25 lbs.
