Administrative Assistant Financial Aid

Reports To: Director of Financial Aid
Position Type: Full-time, 12 Month
Standard Hours: 40 Hours/Week
FLSA Status: Non-Exempt
Classification: Support Staff

Summary:
The Administrative Assistant will assist in the day-to-day operations of the Financial Aid Office. The Financial Aid Office manages all aspects of student financial aid and this position is critical in meeting the demands of the ever-changing student population as well as financial aid programs. Under the supervision of the Director of Financial Aid, this position will provide support to students and their families regarding financial aid applications, eligibility, awards, processes, guidelines, and standards.

Essential Responsibilities:
• Provide support to the Office of Financial Aid in their daily operations to include but not limited to coordinating schedules, answering phones, copying, filing, preparing and processing financial aid letters, scheduling meetings, tracking budget items, creating purchase orders and ordering supplies.
• Process & document incoming and outgoing mail.
• Management of FAFSA's for traditional and ASAP students.
• Meet with parents and students on an as needed basis.
• Assist with open houses, orientations, and on-campus programs.
• Counsel students on the financial aid process and scholarship research.
• Serve as the main point of contact for the financial aid email account.
• Maintenance of incoming, current and retention student files.
• Assists with tracking of college work-study earnings if needed.
• Supervise student workers.
• Track appointments for special programs.
• Track of HEOP spreadsheet in coordination with Admissions
• Send notices to students in regards to verification, TAP and other purposes.
• Assist with processing entrance/exit seminar reports for all students.
• Prepare student files for packaging.
• Responsible for ensuring that assigned tasks are completed in compliance with various institutional and regulatory requirements.
• Maintain a professional and courteous attitude at all times towards co-workers, internal and external customers, representing Keuka College, its programs, policies, and procedures in a positive and professional manner. Maintain effective working relationships to ensure institution-wide teamwork.
• Attend provided/necessary training and other meetings to support effectiveness within the position as required.
• Consistently demonstrate high standards of integrity by supporting the Keuka College mission, vision, and values and adhering to institutional policies.
• Maintain a high regard for student privacy in accordance with the FERPA privacy policies and procedures.
• Regular and reliable attendance is expected and required.
• Perform other functions as assigned by management.

Minimum Qualifications:
1. High School Diploma/GED required; Associates degree preferred.
2. 2-3 years related office experience required.
3. Proficiency in MS Office.
4. Ability to effectively communicate both verbally and in writing.
5. Understand and behave with a high level of integrity and complete confidentiality at all times.
6. Ability to be sensitive to and respond to needs/concerns of students, faculty, college staff and the public.
7. Ability to work under pressure with a high tolerance for interruptions, and the ability to work with diverse groups of people.

Physical Requirements:
• Some evening and weekend hours may be required.
• Occasional lifting up to 25 lbs.
