ABOUT AIC

American International College is a private, coeducational institution of higher education located on a 70+ acre campus in Springfield, Massachusetts. The campus has 42 buildings on two sites approximately 1/2 mile apart with a total of approximately 660,000 gross square feet. Included in the inventory of buildings are student residences for a resident population of 900 students. Founded in 1885, the College has 3700 graduate and undergraduate students. The AIC Core Education Program (ACE) is a federally funded TRIO Student Support Service Program that supports first-generation college students. The ACE Program offers a first-year experience course, workshops and programming throughout the year, academic advising and mentoring which provide guidance and support contributing to student success and achievement.


ESSENTIAL FUNCTIONS
  • Maintains participant records in Compansol Blumen and AIC|Connect; manages participant files and program calendars.
  • Manages ACE/SSS financial recordkeeping; orders supplies and maintains inventory.
  • Completes special projects as assigned by ACE Director.
  • Facilitates appointments for ACE Project students and staff; coordinates meetings/events.
  • Provides supreme customer service to students, staff and faculty.
  • Other duties as assigned

QUALIFICATIONS
  • Required Degree(s): High School diploma/GED
  • Preferred Degree(s): Associate's Degree
  • Required Field of Expertise: Minimum four years experience in an administrative support position

Knowledge/Skills/Abilities

  • Ability to manage multiple priorities, while adhering to deadlines
  • Excellent customer service skills
  • Working knowledge of Microsoft Office Suite, Word, Excel, PowerPoint and experience with the internet
  • Excellent interpersonal skills
  • Ability to work with diverse colleagues and students

WORK SCHEDULE

This is a grant funded, part-time, non-exempt level, non-benefit eligible position. Normal department office hours are Monday through Friday, 8:30am - 4:30pm. This is a 12-month position scheduled for 17.5 hours per week. The set schedule for this position is open for negotiation with the selected candidate.
