Position Summary: Assists division faculty and staff, assuming those responsibilities delegated to the position. Responsible for the division's instruction support system.

Duties and Responsibilities: Maintain all records and files of the division, including but not limited to, fiscal records, academic records, administrative records and institutional support materials. Serves as a receptionist greeting visitors, answering phone, and distributing mail. Prepares all out going division media and forms as required, including reports, memorandum, schedules, textbook requisitions, and purchase requisitions. Monitors division budget, including record keeping, purchases and supplies used. Submit work orders for division. Ensure all staff/faculty mandatory trainings are complete. Screen and directs correspondence and communications, both internal and external. Maintains electronic files and supervises faculty use of computer equipment. Responsible for creating and maintaining all back up files. Maintains personnel records and professional development records as directed by supervisor. Compose replies to such correspondence as directed by supervisor. Oversees and directs work of the work study students of the division. Other duties as assigned.

Required Qualifications: High school diploma or GED equivalent. One (1) year of related experience.

Preferred Qualifications: Associate's degree.

Knowledge, Skills, Abilities, and Work Characteristics: Must demonstrate excellent communication skills. (Written and verbal) Be committed to a positive customer service philosophy. Experience with Microsoft Excel and Word. Knowledge of standard office practices and procedures. Skill in composing routine letters and preparing reports. Skill in the operation of a variety of office machines. Skill in typing/word processing. Ability to work in multiple offices, often in a fast-paced environment.

Pay Rate: 24,490.00 - 29,390.00 annual salary depending on experience
