ABOUT AIC

American International College is a private, coeducational institution of higher education located on a 70+ acre campus in Springfield, Massachusetts. ESSENTIAL FUNCTIONS
  • Serve as primary reception for Dexter Counseling Center, ensuring a reliable and welcoming environment for students while facilitating access to therapeutic services.
  • Coordinate student appointments, provider schedules, and appointment reminders (cross-train with Health Services reception).
  • Provide case management for Counseling Center; work closely with campus partners to meet student needs.
  • Triage students for urgency.
  • Appropriately document and manage confidential information (scanning/shredding documents as needed - HIPAA regulations).
  • Participate in campus outreach events increasing the visibility of counseling services.
  • Assist students with counseling intake process and provide guidance for completion of electronic documentation.
  • Answer incoming calls via a multi-line phone system.

QUALIFICATIONS
  • Required Degree(s): Bachelor's degree
  • Preferred Degree(s): Master's degree
  • Required Field of Expertise: Psychology, Social Work, or related field
  • Preferred Field of Expertise: Experience working with Electronic Health Records. Experience working in a mental health setting and knowledge of HIPAA (Health Insurance Portability and Accountability Act).

KNOWLEDGE/SKILLS/ABILITIES

  • Possess good customer service skills that includes working with challenging people dealing with difficult situations
  • The ability to work with a diverse population of students and colleagues
  • Ability to maintain strict confidentiality regarding all student and employee health matters
  • Ability to manage multiple calendars

WORK SCHEDULE

The Administrative Support Assistant is a full time, non-exempt level, benefit eligible position. This is a 10-month position (August through May) scheduled for 35 hours per week. Business hours are Monday through Friday, 8:30 am to 4:30 pm, with a one hour unpaid lunch. The schedule for this position will be flexible to the needs of the department.
