Position/Job Summary

The Associate Director of Advancement Systems is responsible for systems management, oversight, and strategy. Ensure alignment of advancement systems with the division's larger goals and strategies around engagement and philanthropy. Provide oversight and management of advancement-related applications, their interconnections, and related training and support.

Position/Job Responsibilities

1. Provide leadership and management for advancement-related systems including on-premise applications, SAS , and platforms. Develop an understanding of the business needs of CRA program areas, and consult with program areas to develop and implement system utilization strategies to meet business goals.

2. Evaluate ongoing effectiveness of current systems through monitoring, user feedback, and assessment of performance metrics to measure ROI . Maintain knowledge of all configuration options, modules, features, vendor updates and roadmaps to optimize system usage in meeting current and future business needs.

3. Identify requirements for the acquisition of new software or services as needed. Work with the Executive Director of Advancement Services on planning for new software and software upgrades. Serve as the lead on software contract negotiations where appropriate. Serve as primary liaison with software vendors and IT for infrastructure and software support and maintenance. Plan and coordinate software or system upgrades communications and logistics between IT and the division.

4. Ensure all systems and interfaces align with industry standards and best practices including PCI compliance. Collaborate on policies and practices that are designed to maximize information security, access, and distribution and implement security procedures.

5. Develop and implement procedures to ensure quality data to support CRA initiatives, interconnections with other campus data systems, and institution-wide analytics initiatives. Collaborate on the design and implementation of systems integration and flows between advancement systems and assist in implementing new or improving existing data integration processes.

6. Responsible for data reporting and analytics, ensuring data is accessible, designed and delivered to enable analytics and decision support. Design and consult on the effective use of activity and engagement data to gain insight into program design and provide actionable insights to program areas.

7. Develop, demonstrate, and promote multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate a commitment to diversity and inclusion as a college priority, communicate to employees an expectation of behavior that is civil and inclusive when interacting with all staff, faculty, students and visitors and promote a flexible, collaborative and inclusive work and living environment.

8. Supervise the training and documentation specialist and engagement systems specialist to include conducting yearly employee performance reviews and ensuring professional development opportunities; updating job descriptions as necessary; authorizing paid time away; and recommending various personnel actions including, but not limited to, hiring and merit recommendations.

9. Oversee the development and delivery of systems and process documentation for the division and external systems users. Work with the Training and Documentation Specialist to facilitate training for new systems or develop training curriculum and materials. Work with the Training and Documentation Specialist and the Associate Director of Advancement Data to develop test plans for quality assurance and to ensure smooth upgrades.

10. Oversee the development and delivery of practices and procedures for engagement systems' customer support and provide guidance and direct support and for issues that escalate beyond typical operational support needs. Work with the Engagement Systems Specialist to troubleshoot higher-level system issues including systems login issues and email deliverability issues.

11. Provide project management for Advancement Services and the division to include serving as project manager for major systems efforts and assisting with assigned divisional projects. Review new projects and initiatives and make recommendations for project management approaches, partner in establishing tools and improving business processes, and provide guidance to the division on training from third-parties on project management, time management, and related proficiencies.

12. Design, implement, and maintain a system for managing ad-hoc requests for support, training, and system management tasks from the division.

13. Collaborate with the Associate Director of Advancement Data to ensure data flows to and from systems as needed and data integrity, business rules, and compliance are always enforced. Collaborate on policies and practices that are designed to maximize information security, access, and distribution.

Position/Job Qualifications

Bachelor's degree and a minimum of 5 years related experience or the equivalent combination of education and experience; demonstrated experience in developing and managing strategy around data-driven and web-based systems; experience designing, implementing, and managing systems and data integrations; understanding of maintaining data integrity; understanding of the relationship between system/user data and potential reporting and analytics applications; experience designing and delivering training and documentation; experience providing application support; demonstrated experience gathering business requirements, managing and prioritizing multiple projects and meeting deadlines, excellent organizational and interpersonal skills; experience establishing best practices and guidelines; ability to cultivate an inclusive, diverse, and welcoming environment; ability to treat all people equitably and with a sensitivity and awareness to cultural difference; demonstrated ability to hold others accountable for behavior that is supportive of a community that is diverse and inclusive; demonstrated ability to supervise and assign the workflows of a technologically diverse team and strong problem-solving ability are required.
Supervisory or significant project team management experience, experience working in advancement and/or educational institutions, experience with customer-facing interfaces, and an in-depth knowledge of user experience considerations are strongly preferred.
