ABOUT AIC

American International College is a private, coeducational institution of higher education located on a 70+ acre campus in Springfield, Massachusetts. ESSENTIAL FUNCTIONS
  • Assists in maintaining strong relationships with clinical partners and provide required student information as needed (e.g. communicates with office managers, follows up on conversations initiated by program coordinator, health requirements, CORI, Certiphi, etc.)
  • Enter data, monitor and update clinical database as directed by the program coordinator/director
  • Collect student clinical requirements as needed (e.g. verification of flu vaccine, CPR, CORI, Certiphi, etc.)
  • Work cooperatively with other administrative staff seeking to enhance communication and a team approach to work
  • Assists program coordinator in monitoring students' clinical hours documented in Typhon (software program) and alerts program coordinator of any issues
  • Assists program coordinator in monitoring clinical adjunct activity to ensure that proper documentation needed for accreditation has been submitted
  • Coordinates the establishment and maintenance of clinical agreements (as the program has grown, this piece has taken up much more time especially with multiple cohorts of students now engaged in clinical vs. 1 cohort when program started)
  • Communicates inquiries, issues, and concerns to Dean's office as appropriate to maintain smooth operations of the School of Health Sciences.
  • Assist with tracking student admission and progression through academic program(s)
  • Complete special projects as assigned by program director and/or Dean.
  • Communicates professionally at all times with personnel within and outside SHS.
  • Assist in addressing inquiries and/or refer students and others to appropriate staff/faculty.
  • Assist in retrieving and distributing mail for SHS.

QUALIFICATIONS
  • Required Degree(s): Associate's Degree in related field
  • Preferred Degree(s): Bachelor's Degree in related field
  • Required Field of Expertise: 1-3 years work experience as an administrative assistant

KNOWLEDGE/SKILLS/ABILITIES

  • Experience using Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Work collaboratively with other administrative assistants and faculty
  • Commitment to student-centered mission of the School and College

WORK SCHEDULE

This is a full time, non-exempt level, benefit eligible position scheduled for 35 hours per week. Business hours are Monday through Friday 8:30 am to 4:30 pm with a one hour unpaid lunch break. The schedule for this position will be flexible to the needs of the department with occasional night and weekend event work required.
