Career Services Assistant

Position Title: Career Services Assistant- CWA

Department: Center for Career Services

Job Summary: Provide specialized support to the Executive Director and other staff in the Center for Career Services by managing databases, calendars, receiving visitors, answering inquiries and assisting students, employers and alumni with various functions.

Minimum Qualifications: A high school graduate with 5-7 years of progressively responsible secretarial/clerical work or any combination of training, experience and education sufficient to indicate an ability to do the work. All candidates must also be able to demonstrate general computer proficiency with Microsoft Office Suite.

Requisite Skills

1B- Intermediate Reception/Response. Consistently demonstrates ability to provide routine responses and basic information from inquiries (telephone, e-mail, or in-person) with minimal guidance. Directs visitors as needed.

4C- Advanced Written Communication. Consistently demonstrates ability to create complex correspondence with speed and accuracy. May be required to communicate or respond independently, utilizing advanced knowledge of supported word processing software.

12C- Advanced Data Management Software. Effectively demonstrates advanced knowledge of supported data management software used in department. Consistently demonstrates speed and accuracy and ability to tutor others.

15B- Intermediate Interpersonal Communication. Consistently demonstrates courtesy, tact and professionalism, as well as sensitivity to the concerns or interests of others in conveying information. Demonstrates patience and the ability to handle difficult people.

17B- Intermediate Responsibility. Consistently demonstrates ability to prioritize, coordinate and complete (start to finish) basic work assignments with minimal to no assistance or instruction, such as preparing faculty appointment letters.

22B- Intermediate Technical Knowledge. Consistently demonstrates comprehensive knowledge of hardware and software applications. Has knowledge and ability to troubleshoot and work on hardware or software as needed.

Essential Functions:
  • Monitor NACE link database; send correspondence, issue user accounts, run queries, and troubleshoot problems.
  • Tutor colleagues and students on the usage of NACE link.
  • Create, update and send complex correspondence independently to multiple constituent groups.
  • Independently respond to written inquiries or requests.
  • Work closely with the Executive Director to provide support for events such as the Road to the Workplace, On-Campus Recruitment, Career Fairs, etc.
  • Handle registration, invitations, set-up, and student assistance for events.
  • Serve as initial contact over the phone, in person and online, for students, faculty, companies, and alumni.
  • Answer questions or refer inquiries to appropriate person.
  • Maintain and update hard copy and electronic files such as student information and employer lists.
  • Pull data or run queries when needed.
  • Supervise and coordinate student workers.
  • Possess intimate knowledge of entire institution and outside constituents as required by department.
  • Consistently demonstrate courtesy, fact, professionalism and the ability to handle difficult people.
  • Perform other job-related duties as required.
  • Support budget requests and reconciliations for the Executive Director.
