JOB SUMMARY:

The Associate Director provides vision and leadership to plan and execute events, which focus on large-scale alumni engagement, through communication and recognition that not only aligns with Momentum, the University's strategic plan, but also meets the following goals:

  1. Lead: Provide strategic vision for all alumni programming at Adelphi University to attract alumni and build loyalty to the institution.
  2. Communicate: Educate alumni community of University's news and events through consistent and thoughtful communications.
  3. Recognize: Create award and recognition opportunities for alumni to increase reputation of Adelphi.
  4. Cultivate: Develop young alumni program to motivate recent graduates to invest in the future of Adelphi.
REPORTS TO: Executive Director of Alumni Relations

RESPONSIBILITIES & DUTIES:
Lead: Provide strategic vision for all alumni programming at Adelphi University to attract alumni and build loyalty to the institution.

  1. Develop overall strategy for alumni events and signature activities for the Alumni Relations program.
  2. With the Executive Director, plan and execute Adelphi Spirit Weekend, an annual comprehensive campus collaboration intended to appeal to alumni, students, families, faculty and staff, and the community, specifically focusing on the reunions and gatherings of classes and affinity groups.
  3. Design and implement events that target discrete audiences (e.g. young alumni; alumni who work at employers of a large number of Adelphi graduates; former student-athletes; alumni couples, etc.).
  4. Launch new events and programs to engage and cultivate populations of previously un-engaged or under-engaged alumni.
  5. Recruit and manage alumni volunteers and involve them in the conceptualization, planning, promotion, and execution of events. Provide appropriate staff support to these efforts.
  6. Maximize events by collecting usable information such as updated personal and professional contact information before, during, and after each event.
  7. Creates and maintains cooperative and collaborative relationships with campus partners to grow alumni support of institution.
  8. Provide event management leadership and guidance to department.
  9. Serve as an ambassador of Adelphi University at external and internal events.
  10. Implement and track metrics and key performance indicators for events.
  11. Introduce and regularly use surveys of event attendees to garner feedback.
  12. Develop mechanism to manage events and programs efficiently and effectively.
  13. Monitor all relevant budgets associated with events managed and as assigned.
Communicate: Educate alumni community of Adelphi's news and events through consistent communication.

  1. With University Communications and Marketing staff, manage alumni print and electronic communications including quarterly electronic newsletter.
  2. Develop annual communications plan and strategy in consultation with campus partners.
  3. Manage event print and email marketing and promotion including all creative aspects (invitations, flyers, posters) as required by department colleagues while maintaining Adelphi's branding standards.
  4. Create, maintain, and promote alumni calendar of events and update Alumni Relations website before and after events.
  5. Build Blackbaud NetCommunity emails and event registration webpages.
Recognize: Create award and recognition opportunities for alumni to increase reputation of Adelphi.

  1. Manage and execute Adelphi's 10 Under 10 young alumni recognition program including campus-wide nomination process, notification, and annual awards ceremony.
  2. Develop and execute Adelphi's inaugural Graduate Alumni recognition program including campus-wide nomination process, notification, and annual awards ceremony.
  3. Execute annual recognition program during Adelphi Spirit Weekend each fall.
  4. Identify new and evaluate existing University awards and recognition opportunities for alumni and volunteers.
Cultivate: Develop young alumni program to motivate recent graduates to invest in the future of Adelphi.

  1. Create and implement a Young Alumni Engagement Strategy to include specific programming and outreach to foster lifelong relationships between young alumni and Adelphi University.
  2. Through effective volunteer engagement and cultivation, aid in the development of a pipeline of annual, lead, major, and planned gift prospects for Adelphi.
OTHER RESPONSIBILITIES:

  1. Manage and direct Assistant Director of Alumni Relations. Supervise and evaluate performance.
  2. Serve as liaison to Advancement Services for all department and campus data requests.
  3. With University Advancement, research, code, and update alumni records to reflect reunion and affinity affiliation for event development.
  4. Report, track, and forecast results from all activities. Provide regular reports on monthly, quarterly, and annual results.
  5. Calculate and maintain updated metrics for programming and events.
  6. Work with internal partners and external vendors as needed.
  7. Process contracts and invoices for venues, tickets, and supplies.
  8. Perform other duties as assigned.
REQUIREMENTS:

  1. Excellent verbal and written communications skills, including proficiency in
  2. e-communications. Strong working knowledge and experience with social media platforms.
  3. Strong interpersonal skills. Ability to work well with and make the best and most effective use of volunteers.
  4. Ability to effectively manage multiple priorities and to creatively solve problems.
  5. Ability to speak effectively and persuasively at events and/or to make presentations to individuals and both small and large groups.
  6. Ability to work independently. At the same time, ability to work effectively on teams with both internal (faculty/staff) and external (alumni/parents) partners and volunteers.
  7. Experience in event planning within defined budgetary and programmatic guidelines.
  8. Understanding and appreciation of the prospect cycle: identification, engagement, cultivation, involvement, solicitation, stewardship.
  9. Understanding and commitment to the mission, vision, and programs of Adelphi University.
PHYSICAL REQUIREMENTS:

  1. Ability and willingness to travel.
  2. Night and weekend work will be required.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  1. Bachelor's Degree required.
  2. Three-to-five years of experience in higher education alumni relations, fundraising, constituent management/relations, or a similar field required.
  3. Experience working with volunteers required.
  4. Experience with Raiser's Edge (preferred) or similar CRM required.
  5. Knowledge of and familiarity with Moves Management preferred.
