Position Title: Administrative Assistant - Communication Graduate Programs

Job Summary: The Communication Graduate Program in the School of Communication and the Arts at Marist College is seeking a Part-time administrative assistant to provide administrative support to the program director, dean and faculty. The administrative assistant provides specialized support to a department or office by processing and compiling information, preparing reports, and completing other specific administrative duties.

Physical effort and work environment

The work environment consists of exposure to physical conditions typical of a normal office environment. Most of the job is performed while sitting, although the work may require occasional standing or walking and/or the lifting and carrying of small objects.

Requisite Skills

• 5B-Intermediate Written Communication

Consistently demonstrates ability to create routine correspondence or update template or samples with speed and accuracy. Utilizes a

comprehensive knowledge of supported word processing software

• 6B-Intermediate Office Organization

Consistently demonstrates ability to manage operational aspects of the office with minimal to no supervision, including time management, information distribution, and project deadlines. Consistently demonstrates ability to file documents and student records using standard filing procedures as well as a familiarity with retention policies

• 7B-Intermediate Record & Data Processing

Consistently demonstrates ability to process routine forms and records quickly and accurately, using multiple programs, and investigate and resolve problems such as missing or inaccurate data. Consistently demonstrates attention to detail

• 9B-Intermediate Auditing & Data Reconciliation

Consistently demonstrates ability to audit accuracy of data and investigate discrepancies, as well as reconcile expense reports. Errors are located using developed attention to detail. Errors committed are of average severity, and overall risk to institution is concerning and may necessitate corrective action

Consistently demonstrates high communication skills, and sensitivity to the concerns or interests of others in conveying information. Demonstrates the understanding of factual information and the use of persuasion tactics to help others identify solutions or possible alternative courses of action

Minimum Qualifications:
  • High School graduate with 5 to 7 years of progressively responsible secretarial/clerical work or any combination of training, experience, and education sufficient to indicate an ability to do the work.
  • Proficiency with general computer work and Microsoft Office Suite.

Essential Functions:
  • Provide administrative support to the program director, dean, and faculty
  • Prepare class and instructor calendars each semester
  • Responsible for announcing registration/other information to students via ilearn
  • Liase with Graduate Admissions
  • Act as liaison between registrar, student financial services, and other departments
  • Process add/drop, and withdrawal paperwork for students
  • Create Argos and Banner reports-assess student data pertaining to academic progress
  • Assist with graduation requirements as requested by registrar
  • Process and prepare faculty contracts using Banner
  • Maintain complex filing systems, including faculty, graduate and 5-year student files
  • Manage and reconcile independent budgets and financial records
  • Train and supervise student workers
  • Purchase office supplies and equipment when needed
  • Perform other office duties as required

The Department of Communication is among the largest within Marist College with more than 600 students enrolled in five concentrations (advertising, public relations, journalism, sport communication, and communication studies) and with 25+ full-time and part-time faculty members. In addition, the department operates international programs and two graduate programs. The School of Communication and the Arts is home to a nationally renowned internship program, the Center for Sports Communication, the Center for Social Media, and a wide variety of discipline-specific student groups and clubs, including a student-run integrated marketing communication firm.
