Student Service Coordinator, AOE

Reports To: Assistant Vice President, Adult and Online Education
Position Type: Full-time
Standard Hours: 40 hours/week
FLSA Status: Non-Exempt
Classification: Support Staff

Summary:
The Student Service Coordinator provides multidimensional support to the student advisors for Adult and Online Education programs. The student service coordinator will be a resource and referral source for programmatic questions and information; will troubleshoot situations as needed. The Student Service Coordinator will work closely with a variety of on-campus offices to ensure quality service to enrolled adult students. The student service coordinator may be called upon to assist with nighttime or weekend college events at various locations. The position will include clerical duties as necessary.

Essential Responsibilities:
Assist students with basic programmatic inquiries, mail forms/information as requested for students or direct students to the website to access forms.
Develop and maintain email distribution to and from students as required by the student advisors, with the assistance of the Information Technology Department.
Maintain student demographic information and distribute demographic information as needed.
Oversee Cohort Representative Lists including email; mailing preliminary materials and updates as needed.
Assist in planning and organizing special events, cohort visits, & orientation sessions.
Manage Online Orientation process with ITS, letters, mailing, inputting Online Orientation information into our Learning Management System.
Assist student advisors with student notifications and tracking of special circumstances; to include, but not limited to Academic Review Board letters, student health services, student account holds and coursework documents.
Assist Assistant Director of Operations and Program Support Coordinator with creating and maintaining cohort schedules.
Schedule and administer CLEP exams for the CLEP administrator.
Email withdraws forms, special reg., COA, CON, Book Del. Change to appropriate offices on a daily
basis.
Track program withdraws on a spreadsheet for specific program retention efforts
Track online course and registrations withdrawals on a spreadsheet for retention efforts
Manage Health Form process/spreadsheet/communication
Manage folder creation and distribute to correct SA. Break down folders as needed and file students as active, credit deficit, graduated, withdrawn.
Maintain faculty-student enrollment update and cohort start/end update
Responsible for ensuring that assigned tasks are completed in compliance with various institutional and regulatory requirements.
Maintain a professional and courteous attitude at all times towards co-workers, internal and external customers, representing Keuka College, its programs, policies, and procedures in a positive and professional manner. Maintain effective working relationships to ensure institution-wide teamwork.
Attend provided/necessary training and other meetings to support effectiveness within the position as required.
Consistently demonstrate high standards of integrity by supporting the Keuka College mission, vision, and values and adhering to institutional policies.
Maintain a high regard for student privacy in accordance with the FERPA privacy policies and procedures.
Regular and reliable attendance is expected and required.
Perform other functions as assigned by management.

Minimum Qualifications:
1. Associates degree, preferred
2. Prior experience working in higher education, student services and/or customer service preferred. Computer experience required.
3. Experience using technology including Microsoft Office, Google Apps, databases, and calendars.
4. Effectively communicate both verbally and in writing.
5. Excellent planning and organizational skills.
6. Ability to effectively communicate both verbally and in writing.
7. Understand and behave with a high level of integrity and complete confidentiality at all times.
8. Ability to be sensitive to and respond to the needs/concerns of students, faculty, college staff and the public.
9. Ability to work under pressure with a high tolerance for interruptions, and the ability to work with diverse groups of people.

Physical Requirements:

Some evening and weekend hours may be required.
Occasional lifting up to 25 lbs.
