Applications are currently being accepted for Senior Secretaries in Student Development and the Outreach and Community Relations department, locate at City College. Student Development is comprised of Student Development, Matriculation, and Personal Growth and is led by the Dean of Student Development. The Outreach and Community Relations department oversees the Outreach office and Off Campus Programs. The department is led by the Associate Dean of Outreach and Community Relations. The college serves about 18,000 students each semester.

As assistant to the Dean and Associate Dean, the Senior Secretary is responsible for handling routine office duties such as responding to telephone calls and walk-in visitors, routing paperwork, and calendaring meetings. A significant responsibility of the secretary (done in cooperation with the Dean, Associate Dean, and department chairs) is facilitating the development and data entry of the division's schedule of classes and adhering to set deadlines. Good communication and English skills are needed. The Senior Secretary will use a computer, fax, copier, printer, scanner, and multi-line telephone. Software applications used on a regular basis include Microsoft Word, Excel, Outlook, Internet Explorer and Access. Mainframe applications include ISIS (student database) and Peoplesoft. Many web-based applications are required to conduct regular business.

Other qualities desired include excellent customer service and problem-solving skills, good judgment, adherence to policies and procedures, professionalism, and a positive, can-do attitude with a team of colleagues and community partners.

Hours are Monday-Friday, 8am-5pm. Selected candidate must be willing to adjust work days/hours based on the department's needs.

Knowledge: - Applicable sections of California Education Code and State regulations. - Basic principles of employee training and work direction. - Computer applications, including word processing, spreadsheets, and databases. - District organization, operations, policies, and objectives. - English usage, grammar, spelling, punctuation, and vocabulary. - Interpersonal skills using tact, diplomacy, and courtesy. - Modern office practices, procedures, and equipment, including computer hardware and software. - Oral and written communications skills. - Record-keeping techniques.- Technical aspects of programs department operations.Skills and Abilities: - Communicate effectively both orally and in writing. - Compose correspondence and other documents independently. - Establish and maintain effective working relationships with others. - Exercise judgment and discretion in handling confidential and sensitive matters. - Learn to apply rules, policies, and procedures of the specific office or program to which assigned. - Maintain records and prepare reports. - Make simple arithmetic calculations. - Meet schedules and time lines. - Operate a variety of office machines and equipment, including computer hardware and software. - Perform responsible and complex secretarial and clerical work with speed and accuracy. - Plan and organize work. - Provide input into the evaluation process as requested. - Relate effectively with people from varied cultural and socio-economic backgrounds. - Train and provide work direction to others. - Type/keyboard at 60 words per minute. - Understand and follow oral and written directions. - Use computer applications, including word processing, spreadsheets, and databases. - Work confidentially with discretion. - Work independently with little direction.Training and Experience: Any combination of training and experience equivalent to: graduation from high school and three years of increasingly responsible secretarial and clerical experience. One year of experience in an educational setting is desirable.

Pay Information:
Range 21 ($3,452.19 $5,510.47) per month based on the current AFT Classified Unit Office Technical Salary Schedule

Initial salary placement is commensurate with related experience and promotional rules. The District offers a comprehensive fringe benefit package including employer paid: medical, dental, and vision plans; sick and vacation leave; and opportunities for professional development. Initial Salary Placement, Promoted or transferred employees will be placed as specified in the AFT-Guild, Local 1931 Classified Staff Collective Bargaining Agreement. This position is FLSA Non-Exempt and may accrue overtime. A temporary probationary period will be applied to the employee entering this assignment.
