Administrative Assistant, Adult and Online Education

Reports To: Assistant Vice President, Adult and Online Education
Position Type: Full-time, 12 months
Standard Hours: 40 hours / week
FLSA Status: Non-Exempt
Classification: Professional Staff

Summary:
The Adult and Online Education (AOE) Admissions department is seeking an enthusiastic, detail oriented, organized team player with a high level of customer service to fill the role of Administrative Assistant who will assist in the day-to-day operations. Under the supervision of the Assistant Vice President, the Administrative Assistant will perform a wide variety of duties, including administrative and clerical functions. This position will maintain the student prospect database and related processes throughout the admissions cycle, beginning at the initial inquiry stage and concluding with enrollment. This person must possess outstanding written, verbal, and interpersonal communication skills and must be able to work with a diverse student population in a fast paced environment. Interaction with staff, faculty, students, and educational partners, will be executed at a high level of service and support.

Essential Responsibilities:
• Provide support to AOE in the daily operations to include, but not limited to coordinating schedules and preparing calendars, arranging meetings, copying, filing, generate letters, reserving classroom and event space, ordering supplies and processing purchase orders.
• Answer questions, inquiries, or requests in a timely manner.
• Responsible for initial contact with all visitors and serve as the liaison between the department and other on and off campus offices.
• Maintain ongoing communications with admissions counselors, enrollment advisors, and enrollment coordinator.
• Perform data entry tasks as needed including applications, inquiries, interactions, etc.
• Generate letters and additional information to send to prospective and accepted students.
• Distribute information packets to student prospects as requested. Assemble packets as needed.
• Report daily numbers including deposits, inquiries, applications, etc. to AVP.
• Assist Enrollment Coordinator in the support of CRM, Slate.
• Solicit assistance and support of admissions counselors, as needed to complete admissions files.
• Run productivity reports and distribute as directed.
• Maintain sufficient inventory of marketing materials.
• Coordinate distribution lists for campaigns.
• Support Enrollment Advisors in the process of accepting and enrolling students.
• Support the coordination of AOE events such as New Student Orientation, graduation, information sessions, etc.
• Responsible for ensuring that assigned tasks are completed in compliance with various institutional and regulatory requirements.
• Maintain a professional and courteous attitude at all times towards co-workers, internal and external customers, representing Keuka College, its programs, policies and procedures in a positive and professional manner. Maintain effective working relationships to ensure institution-wide teamwork.
• Attend provided/necessary training's and other meetings to support effectiveness within the position as required.
• Consistently demonstrate high standards of integrity by supporting the Keuka College mission, vision and values and adhering to institutional policies.
• Maintain high regard for student privacy in accordance with the FERPA privacy policies and procedures.
• Regular and reliable attendance is expected and required.
• Perform other functions as assigned by management.

Minimum Qualifications:
1. Associates degree preferred. In lieu of a degree, an equivalent combination of education and experience may be considered.
2. Experience working with adult and online learners and/or college admissions is preferred.
3. Ability to utilize technology for effective work processes (Google Hangouts, Zoom, Skype, etc.)
4. Experience working with a CRM, Ellucian's Colleague, Recruiter, and Technolution's Slate is highly desirable.
5. Must be proficient in use of the computer software programs and databases including Microsoft Word and Microsoft Excel, Windows operating system and Windows based programs, multiple web browser.
6. Ability to effectively communicate both verbally and in writing.
7. Excellent planning and organizational skills.
8. Ability to be sensitive to and respond to needs/concerns of students, faculty, college staff and the public.
9. Ability to work under pressure with a high tolerance for interruptions, and the ability to work with diverse groups of people.
10. Understand and behave with a high level of integrity and complete confidentiality at all times.

Physical Requirements:
• Some evening and weekend hours will be required.
• Occasional lifting up to 25 lbs.
