Human Resources Coordinator

Reports To: Director of Human Resources
Position Type: Full-time, Staff
Standard Hours: 40 hours / week
FLSA Status: Non-Exempt

Summary

The Human Resources Coordinator will be responsible for providing administrative and operational support to the Office of Human Resources. This entails assisting with any inquiries and issues involving day-to-day human resource transactions including the employee life-cycle, data security and accuracy, and employee files and HR records maintenance. The Coordinator will work closely with the generalists and will respond to all inquiries in a timely manner and exemplify the customer service values and standards representative of the Department of Human Resources. The ideal candidate will be a skilled, motivated, self-starter who understands the importance of handling sensitive confidential information and derives success from a collaborative approach and work style.

Essential Responsibilities:
  • Respond to inquiries in a professional and timely manner with very high attention to detail, follow-up and accuracy.
  • Perform various administrative duties essential to the operation of the Human Resources department.
  • Responsible for gathering, entering, and maintaining data and its integrity at all times.
  • Conduct a basic review to verify data, formulate recommendations and prepare reports.
  • Assist in explaining and providing information on employee benefits, programs, and education.
  • Assist in the recruitment and on-boarding of new hires including staff, faculty, adjunct, and student employment which may include creation/maintenance of job descriptions, job ads, job postings, offer and regret letters, new hire paperwork and processing invoices.
  • Initiate, track and monitor the instructor contract process from beginning to end to ensure instructors receive payment in a timely manner and troubleshoot any issues that may arise.
  • Responsible for planning, arranging and overseeing calendars, which includes scheduling of meetings, events, some travel arrangements, etc.
  • Assist with completing reference checks, employment verification's, tuition reimbursement, etc.
  • Create and maintain effective organization systems and processes and develop standard operating procedures where needed.
  • Collaborate with peers on various projects to design and deliver targeted HR initiatives.
  • Responsible for ensuring that assigned tasks are completed in compliance with various institutional and regulatory requirements.
  • Maintain a professional and courteous attitude at all times towards co-workers, internal and external customers, representing Keuka College, its programs, policies and procedures in a positive and professional manner. Maintain effective working relationships to ensure institution-wide teamwork.
  • Attend provided/necessary training's and other meetings to support effectiveness within the position as required.
  • Consistently demonstrate high standards of integrity by supporting the Keuka College mission, vision and values and adhering to institutional policies.
  • Maintain high regard for student privacy in accordance with the FERPA privacy policies and procedures.
  • Regular and reliable attendance is expected and required.
  • Perform other functions as assigned by management.


Minimum Qualifications:
  1. Associates Degree preferred. In lieu of a degree, an equivalent combination of education and experience may be considered.
  2. Proficiency in the use of office equipment and computer software programs including HRIS systems and Microsoft Office.
  3. Strong background in customer service.
  4. Experience and proficiency working both independently to execute tasks and collaboratively within a team environment to pursue solutions to challenges.
  5. Ability to effectively communicate both verbally and in writing.
  6. Excellent planning and organizational skills, with a high attention to detail.
  7. Understand and behave with a high level of integrity and complete confidentiality at all times.
  8. Ability to be sensitive to and respond to needs/concerns of students, faculty, college staff and the public.
  9. Ability to work under pressure with a high tolerance for interruptions, and the ability to work with diverse groups of people.

Physical Requirements:
  • Some evening and weekend hours may be required.
  • Occasional lifting up to 25 lbs.
