Academic Assistant Podiatry

Summary/Essential Duties and Responsibilities:

The Academic Assistant provides complete logistical, secretarial and clerical support to all faculty within the College of Podiatric Medicine and Surgery, with consistent quality performance and achieving above standard results. The Academic Assistant is required to act responsibly and professionally, adhering to all university and departmental policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Must be available to all CPMS faculty, providing assistance as requested.
  • Schedule, coordinate, prepare and produce course and lecture materials, syllabi, handouts, exams, exam keys and evaluations and data.
  • Coordinate guest lecturers and prepare documents and paperwork to expedite payment and to eliminate concerns.
  • Maintain calendars, schedule meetings, conference calls, and EBM groups.
  • Process and maintain student information and keep student files updated.
  • Prepare from raw material, and distribute all letters of recommendation, correspondence and documents in a timely manner with accuracy.
  • Prepare, produce and maintain course material and data in D2L Learning Management Systems.
  • Handle phone calls, emails and other requests professionally and in a timely manner, following up as necessary.
  • Assist doctors with research articles and posters, by gathering preliminary information sources and materials.
  • Schedule meetings with students and faculty.
  • Create, arrange and format information in MS Office Suite (PowerPoint, Excel, Word and Access).
  • Make complete travel arrangements and prepare all request forms.
  • Provide support as needed to CPMS Clinical Affairs.
  • Have knowledge of other departmental assistants' duties, with ability to fill in as necessary.
  • Prepare reports as needed.
  • Record meeting minutes.
  • Performs other job-related duties or special projects as assigned by faculty, supervisor and/or Dean of CPMS.
  • Participate in and successfully complete all University required training including, but not limited to discrimination/harassment and code of conduct.


Qualifications/Education and/or Experience:

EDUCATION and/or EXPERIENCE
  • High school degree or equivalent, plus two years of experience as an assistant or an equivalent combination of training and experience.
  • Some college education or business school training desired.


ESSENTIAL SKILLS
  • Excellent written and verbal communication skills. Must be able to communicate clearly with faculty and staff, providing thorough and complete information.
  • Must be able to answer phone calls and correspondence in a consistent professional manner.
  • Minimum 45 cwpm typing speed required.
  • Demonstrated knowledge of office equipment.
  • Medical terminology and transcription skills desirable.
  • Basic PC knowledge and skills; MSWord, Excel, Outlook, Access and PowerPoint required, as well as website and internet skills
  • Must be able to communicate professionally and effectively with all employees of DMU and the general public.
  • Must be able to work with minimal supervision and be a self-starter.
  • Must be detail-oriented and able to prioritize and organize work to successfully meet deadlines.
  • Must be able to multi-task with frequent interruptions and exercise excellent judgment in making time-sensitive decisions related to the functioning of the department.
