JOB SUMMARY:

The Office of Risk Management (DRM) is a newly formulated unit at Adelphi University, created as a result of careful consideration of campus needs, as well as a review of best practices among peer institutions nationwide. Management and oversight of all contracts for the University is included within the duties of this unit. Agreements types are varied and include, but are not limited to, the following: academic affiliations, advertising/marketing, athletics, benefits, conference services, construction, consulting, donor relations, equipment rental and maintenance, events, facilities management, information technology, intellectual property - patents, trademarks, etc., leases, performance services, and sponsorships. The Contract Management Analyst will assist in the review, processing and management of all contracts for the University working collaboratively with the University community and the Contract Coordinator to ensure contracts are prepared consistent with University policies and procedures. The Contract Analyst will also provide support and assistance as needed in other areas handled in the Department which include litigation management, permits and other filings, research on issues that arise, insurance and special projects.

REPORTS TO: Director of Risk Management

RESPONSIBILITIES & DUTIES:

  1. Review Agreements for accuracy, completeness and compliance with University standards and policies.
  2. Conduct quality assurance review of all contracts and prepare contract documents for execution.
  3. Monitor collection of required contract documents - Certificates of Insurance, Execution Copies, Distribute execution counterparts.
  4. Maintain records and documents by scanning and adding executed agreements to contract database or other solution and then file hard copies.
  5. Maintain the quality and integrity of contract management database and ensure that all contracts area accurately reflected in application or database.
  6. Generate reporting from database regarding expiring agreements and follow up with appropriate internal parties to determine if contracts are to be renewed or terminated.
  7. Support activities to renew or extend existing contracts using standard format and defined processes
  8. Support developing and updating University contract policies and procedures, as necessary.
  9. Support developing or updating standard agreements, terms or conditions that can be utilized for contracts
  10. Review components of existing contractual arrangement and analyze the elements of the agreement for accuracy and compliance with University policy.
  11. Assist in key initiatives to improve contract management processes and activities including developing and enhancing contract solution
  12. Coordinate review with the University business partners to gain industry best practices and trends to strengthen contract management
  13. Perform other job related duties as assigned.

REQUIREMENTS:

  1. Analytical skills and mindset to analyze, synthesize, and evaluate contract related information to review and execute contracts as well as identify improvement opportunities

  4. Ability to work effectively with external business partners to find creative approaches to meet university and workforce development needs
  5. Good organizational skills with an ability to multi-task as well as prioritize workload according to volume, urgency, etc.
  6. Self-starter with ability to work independently on defined tasks
  7. Good interpersonal skills and experience working with various stakeholder groups in a collaborative environment.
  8. Strong verbal and writing skills.
  9. Strong computer skills for using Windows, Microsoft Word, Excel, Access, Smartsheet, Visio, E-mail, and where necessary, to conduct internet research
  10. Experience administering contract management process helpful
  11. Understanding of legal terms and conditions typical in contract documents
  12. Ability to maintain confidentiality.
  13. Demonstrated commitment to building community, embracing diversity and vigorously promoting equity and inclusion.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  1. Bachelor's Degree is required.
  2. Legal, risk, and contract knowledge/training is preferred.
