HR Administrative Assistant

Job Summary

Columbus State University has an opening for an Administrative Assistant in the Department of Human Resources. This position will perform a variety of office support and/or administrative duties for the department, to include, assisting and directing visitors; resolving administrative problems and inquiries; and completing a range of administrative activities.

Responsibilities

Responsibilities include but are not limited to: performing a range of diverse and sometimes complex administrative activities for the department; serving as the central point of contact with other departments and external constituencies in the resolution of a variety of daily matters to include office and front desk operations; answering telephones and assisting visitors; resolving and/or referring routine administrative problems and inquiries; managing appointment schedules and calendars; establishing, maintaining, and updating files, databases, records, and/or other documents; developing and maintaining data, performing routine analysis and calculations in the processing of data for recurring internal reports; and assisting with travel and/or purchasing.

The selected candidate will also supervise student employees as appropriate; maintain employee, faculty, and student personnel files and ensure files are in good condition and properly located; organize, maintain, and prepare files for permanent storage location, if applicable; prepare files and/or documents for recycling, burning, and/or shredding; order and maintain inventory of office supplies; respond to verbal and written employment verifications, to include completion Public Service Loan Forgiveness Verification Form (PSLF) requests; prepare draft documents and compose routine correspondence on policy and procedural issues; assist in the resolution of process related or procedural problems and inquiries received from department representatives, employees, and applicants; accept delivery of incoming packages and correspondence; opens, sorts, and distributes mail; perform special projects; and all other related duties as assigned.

Required Qualifications

Minimum qualifications include an Associate's degree or equivalent from a two year college or technical school and a minimum of three years' experience in an office environment; or an equivalent combination of education and related human resources experience. The successful candidate must possess demonstrated customer service and computer skills to include knowledge of Microsoft Office; the ability to work independently, with various departments, and as part of a team; the ability to understand Human Resources policies and processes; the ability to maintain confidentiality, meet deadlines, have a keen sense of attention to detail, and considerable knowledge of office procedures and processes; the ability to complete tasks timely and accurately; handle multiple projects simultaneously; the ability to communicate effectively both orally and in writing; excellent interpersonal and organizational skills; flexibility; skill in organizing resources and establishing priorities; the ability to analyze and solve problems, gather data, compile information, and prepare reports.

Proposed Salary

The salary is commensurate with education and experience.
