Administrative Assistant, Louis Stokes Alliances for Minority Participation

Job Summary

Columbus State University has an opening for an Administrative Assistant in support of the Louis Stokes Alliances for Minority Participation Program award. This position will assist in the operational aspect of the LSAMP Program at CSU and will assist with coordinating with LSAMP partner institutions on the behalf of the Alliance; will conduct all administrative duties associated with LSAMP program members, to include monitoring and managing budgets and time sheets; processing reimbursement requests for payment; assisting in administrative duties related to travel; development and maintenance of filing systems; scheduling and coordinating meetings; data entry; and directing calls to appropriate personnel. This position is funded by a grant award from the National Science Foundation Louis Stokes Alliances for Minority Participation Program and will be held as long as funding is available.

Responsibilities

Responsibilities include but are not limited to: assisting with all clerical related duties related to the CSU LSAMP Program activities; monitoring budgets and timesheets; ordering supplies; coordinating and processing travel arrangements and requests; maintaining confidential scholar and program files; processing reimbursements requests for payments; maintaining financial files; directing students to appropriate support channels as needed; working collaboratively with other offices to serve student needs, including but not limited to the Office of Diversity Programs and Services, Enrollment Services, Office of Sponsored Programs, Academic Center for Excellence, Center for Career Development, the Counseling Center, and the Center for Accommodation and Access; monitoring and directing calls to appropriate personnel; general administrative and clerical support, to include mailing, scanning, faxing, and copying files; assistance with maintaining records of policies and procedures for LSAMP Program; data entry with includes collaborating with the Alliance LSAMP personnel at partner institutions; maintaining and filing reports and confidential files relating to the Alliance; assistance in monitoring and managing of Alliance and sub-award budgets related to the implementation of the LSAMP Program; assistance in the planning and organization of the Alliances annual research symposium/workshops, to include conference logistics, scheduling meeting places, travel for attendees, and copying of required publications; and all other project and program related duties as assigned.

Required Qualifications

Minimum qualifications include an Associate's degree (Bachelor's degree is preferred) and a minimum of two years' administrative support experience. The selected candidate should have experience in working with underrepresented minorities; excellent and effective communication skills, both writing and verbal; a strong customer service focus; excellent organizational and planning skills; a demonstrated proficiency in Microsoft Office (Word, Excel, and Outlook) and in operating standard office equipment; experience with external grant and contract management; a demonstrated ability to work with complex projects to include data reporting; and a general knowledge of accounting practices and procedures.

Proposed Salary

The salary is commensurate with education and experience.
