About the Position:

The Administrative Assistant/Grants Coordinator will assist with the administrative management of the multiple grants programs supporting efforts in Academic Services and Research. The position offers an exciting opportunity to work on grant management and program initiatives to support the successful implementation of the program. The Administrative Assistant/Grants Coordinator will work collaboratively with project partners, the Virginia Foundation for Community College Education, and research and evaluation teams.

 

Essential job functions:

  • Work with appropriate staff in VCCS Fiscal Services and the Virginia Foundation for Community College Education to establish AIS account codes for grants.
  • Develop working budget documents for the program to ensure the proper distribution of program and administrative costs and identify any future needs for modifications.
  • Develop grant project tracking sheets to track fiscal expenditures and, as needed, performance data.
  • Develop and issue appropriate payment request and fiscal reporting forms.
  • Collect periodic expenditure reports by established due dates and review for completeness.
  • Provide input and technical assistance, as requested by project directors, in resolving outstanding budget or program issues.
  • Develop budget reports as required.
  • Assist with administrative tasks such as travel for grant directors, purchasing for grant directors and other recipients, completing paperwork for starting and closing a grant.
  • Provide support for internal and external grants project meetings.
  • Participate in internal and external grant project meetings as requested.

 

Qualifications

Required Experience:

  • A combination of relevant experience and education that provides the required level of knowledge, skills and ability to successfully perform the functions of the job.
  • 2+ years of experience with grants administration and/or compliance.
  • Sound knowledge of fiscal practices and procedures.
  • Strong attention to detail.
  • Strong organizational and financial management skills.
  • Ability to think and problem solve creatively.
  • Excellent communication and interpersonal skills with ability to establish and maintain effective working relationships.
  • Demonstrated success working in fast-paced, rapidly changing environment.
  • High proficiency in Microsoft Office tools.
  • Ability to effectively manage and complete assignments independently and as a team member.
