Executive Assistant and Office Coordinator

Position Summary:
Act as executive assistant to the Vice Provost for Undergraduate Academic Affairs. Manage projects and work flowing through the office of the Vice Provost; work independently to handle intense scheduling, appropriate referral or resolution of problems, coordinate Undergraduate Academic Affairs leadership team activities, and support the Vice Provost's participation in university governance and other leadership roles. Act as a liaison with the many units and individuals who report to the Vice Provost. Facilitate smooth functioning of Vice Provost's suite by coordinating staff input, workload and office coverage, and encouraging good relationships. Works with staff throughout the Provost's leadership area to support effective and efficient operations to meet the mission of the Office of the Provost.

Required Qualifications:
- Experience providing executive level administrative support
- Strong demonstrated knowledge of office computer software such as Word, Excel, Access, PowerPoint or other data management software
- Experience preparing documents and reports in a professional manner
- Ability to organize and manage a large and complex workload with many competing priorities
- Excellent communication and interpersonal skills
- Ability to set a calm, supportive, and inclusive tone for the office, and to work independently or as a member of a team without close supervision
- Maintains confidentiality in all matters; exhibit qualities of honesty, integrity and loyalty in the workplace
- Ability to interact with senior level management internal to the university and alumni and friends external to the university.

Preferred Qualifications:
- Working knowledge of University policies and procedures
- Experience working at an executive level as an office manager
- Demonstrated knowledge of project management
- Ability to use data visualization and other communication strategies to enhance documents and reports.
- Working knowledge of university governance and curriculum development
- Experience working with Student Banner.
