JOB SUMMARY:

The Associate Director of Special Events is an integral position in the Office of External Relations. Along with the Senior Associate Director, the Associate Director is responsible for the development and execution of the University's special events program to meet the needs of internal audiences; is an advisor to the Executive Director for Special Events and serves as the University liaison for special events to the campus community.

REPORTS TO: Senior Associate Director of Special Events and Engagement

RESPONSIBILITIES & DUTIES:

  1. Event Management and Planning
  2. Assist Senior Associate Director with all on-campus programming and assume direct responsibility for all school-based conferences.
  3. Execute a diverse portfolio of the Distinguished Lectures - Work directly with the schools to establish dates, speakers, collateral and program details.
  4. Coordinate and execute all aspects of TEDx Adelphi program.
  5. Act as Special Events office liaison to the Long Island High School Program
  6. Plan and execute special events efficiently and on budget and work to produce events that are Adelphi branded.
  7. Ensure that events reinforce Adelphi's reputation and the goals of Adelphi's strategic plan, known as Momentum. Recommend programming that engages Adelphi students, prospective students, faculty and staff.
  8. Identify unique venues for the Distinguished Lecture series, board meetings, and Momentum Tour locations.
  9. Calendar Coordination and Campus Resource
  10. Develop an events communication and engagement strategy to guide campus partners on best dates for planning events to ensure there are not conflicting dates scheduled.
  11. Act as campus community liaison to ensure events are calendared.
  12. Assist the Senior Associate Director in personally developing support through the University to drive engagement.
  13. With the Senior Associate Director serve as an event planning resource to the University and work with campus partners to create successful events that are on par with the quality of events expected from the University and that enhance our brand, image, and reputation.
  14. With the Senior Associate Director, work to ensure the production and execution through UCOMM and other sources of all event related communication and collateral needs.
  15. Develop tools, processes, and protocol to help other units put on high quality events.
  16. Create and promote protocols for professional standards and procedures for production of events in keeping with the image and reputation of Adelphi University.
  17. Collaborate with on campus partners and serve on committees as a representative from Special Events when Adelphi partners host conferences and events on campus.
  18. Develop and deliver, in conjunction with the senior associate director, a series of on campus workshops on event programming, branding, frequently asked questions and creating an Adelphi experience.
  19. Budget and Analysis
  20. Participate in the evaluation and recommendation process for events.
  21. Participate in the budget process for events managed by you.
  22. Perform other job-related duties as assigned.

REQUIREMENTS:

  1. Excellent written and oral communications skills.
  2. Fluency with a variety of computer programs (Excel, Word, PowerPoint, and Social Media Platforms) is required including, database management.
  3. Ability to work independently.
  4. Required to be organized and pay attention to detail.
  5. Ability to prioritize workload according to volume, urgency, etc.
  6. Ability to work long hours. Hours for the position are varied; evening and weekends are required.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  1. Bachelor's degree or equivalent. Master's degree preferred.
  2. Five years of event planning and management experience.
