Job Description:

 

GENERAL RESPONSIBILITIES

Operates and implements microcomputer software to perform advanced word processing (Microsoft Word, MathType, Power Point), spreadsheets (Microsoft Excel), and database (Microsoft Access) and projects for faculty, deans, associate deans and department chairs. Works in mainframe (Colleague) to input and retrieve college information. Keeps file system current and updated to provide easy access to files. Responsible for prioritizing and coordinating word processing assignments and conferring with Office Supervisor when need arises. Responsible for maintaining all electronic course outlines and program files for division on the website. Acts as a backup in Office Supervisor's absence.

WORK PERFORMED

  • Performs highly skilled word processing for deans, associate deans, department chairs, coordinators, and full-time and part-time faculty.
  • Responsible for prioritizing and coordinating word processing jobs within the divisions by maintaining an accurate check-in system and conferring with office supervisor when needed. Deadlines may need to be negotiated directly with faculty and/or coordinators to ensure that they are met.
  • Troubleshoots with faculty and deans regarding the use of their personal computers, HCC network and/or software.
  • Assists with catalog updates which include updating and/or creating course outlines.
  • Designs spreadsheets, macros, graphs, new forms and tables for faculty and deans and department chairs using the most advanced software available on campus
  • Assists with entering semester schedules, add courses, faculty assignments, and accessing confidential student/staff records.
  • Assists faculty and staff in securing classroom reservations.
  • Maintain electronic file system for Mathematics division's J drive.
  • Maintain faculty mailboxes.
  • Assists Academic Office Supervisor by processing I-9 paperwork for new employees within the division.
  • Responsible for tracking and collection of rosters, grade rosters and course syllabi making sure that all full-time and part-time faculty adhere to deadlines.
  • Responsible for coordinating book orders and desk copy requests each semester with faculty and book representatives. Orders supplies for the Office, and maintains inventory of disks (records) and word processing supplies kept on hand for Mathematics department.

Requirements:

  • High school diploma. A.A. Degree preferred.
  • A minimum of three years of office-related work experience.
  • Ability to produce technical, scientific, and mathematical documents. Possesses complete knowledge of Microsoft Word software package. Possesses knowledge of proper business English forms, grammar, spelling, and typing formats. Possesses a basic knowledge of office procedures. Keyboard skills.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to maintain strict confidentiality.
  • Flexibility required. Must be able to work evening hours during the Fall and Spring semester.

 

Additional Information:

 

Hours Per Week: 37.5
Work Schedule: Variable hours with evening work required during Fall and Spring Semesters. During major semester division office hours: M-Th 7:30am-7:30pm; Friday 7:30am-6:00pm
Compensation: $17.18 per hour
Grade: 7

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
