Department Manager - Clinical Sciences


The Department of Clinical Sciences faculty (approximately 60) have teaching and clinical responsibilities to the veterinary students and hospital respectively, as well as individual research pursuits. The department administrative staff (7) support the faculty, residents and interns (approximately 60) and other staff by preparing course syllabi, exams in ExamSoft, homework assignments on TUSK, ordering items on the department p-card and e-req systems, and preparing travel and business reimbursements on Apptricity, as needed. Residents and interns are primarily selected through the annual VIRMP for one, two, and three-year cycles. Technical staff (~17) are hired to support faculty in research endeavors and to assist in the teaching of students and house officers with clinical techniques. The department has a large departmental budget, and many discretionary and research accounts that are tracked and monitored. In addition, two of the teaching hospitals (Lerner clinic and Tufts at Tech), and core facility research laboratory (Clinical Science Laboratory) and a Clinical Trials Office (CTO) have budgets and staff that fall under the department.

The department manager represents the department, its faculty and programs to the university and external community and speaks on behalf of the Chair, including managing integral and complex relationships with the veterinary teaching hospital. The department manager has responsibility for the business and academic functions of the Department of Clinical Sciences. This includes management of administrative and technical staff who also provide support to faculty; responsibility for development and management of the department budget, including budget projections and labor reporting, fiscal oversight of grant expenditures and salary offset. The department manager is responsible for academic and clinical faculty appointment renewals for full and part-time faculty, management of appointments of a large group of adjunct faculty. as well as preparation of appointment packages for new faculty hires. The department manager interprets and enforces university and department policies and guidelines for faculty and staff. The department manager provides support to the Department Chair in project planning and special projects. The department manager is responsible for the management of the Veterinary Intern/Resident Matching Program (VIRMP).



Qualifications:


Basic Requirements:

Bachelor s degree with 5 years of experience. Strong administrative and organizational skills are required, advanced computer skills including knowledge of MS Word, Excel, Powerpoint,, Access and Adobe Acrobat, as well as the internet, social media and emerging media. Strong communication and team leadership skills. Valid US driver s license. Ability to lift up to 15 lbs. with or without accommodation.

Preferred Qualifications:

5 years in an academic management support setting. Successful management and supervisory experience preferred. Also, superior organizational and analytical skills, ability to implement new initiative or business practices, work independently, strong attention to detail, ability to interact diplomatically with a wide variety of constituents and to work effectively as part of a team. This position requires a person who is self-motivated, requires minimal supervision and can perform in a sometimes-stressful environment, meeting multiple deadlines under pressure during busy times. Should demonstrate initiative and good judgment with confidential information. Must bring positive outlook and develop enthusiasm for our mission.

Special Work Schedule Requirements:

Flexibility to work as needed beyond typical work week (35 hr/wk) during periods of critical deadline pressure.
