Program Support Specialist

Position Summary:
The Administrative Assistant provides primary office support for the Office of Undergraduate Research. Responsibilities of the position include general administrative functions, managing program application processes, managing datasets, and supporting event planning activities. Compiles application packets and coordinates review and selection process for a variety of programs, collects and files paperwork related to undergraduate fellowships and training, processes survey data, tracks student engagement in undergraduate research, supports undergraduate research symposia and other events, and coordinates student conference travel. Occasional work outside regular business hours.

Required Qualifications:
• Strong organization skills;
• Ability to switch between different tasks and meet multiple deadlines concurrently;
• Willingness to learn;
• Ability and willingness to communicate professionally and clearly with a variety of stakeholders in written and oral forms, via phone, email, and in person, and in a timely manner;
• Proficiency in Microsoft Office (particularly MS Excel) and Google suites;
• Working knowledge of online survey tools such as Qualtrics;
• Ability to work seamlessly between software platforms, moving data as needed for manipulation or analysis;
• Ability to handle sensitive information and documents.

Preferred Qualifications:
• Experience working in university or college administration;
• Experience working with databases, such as Access, Banner, or the like, and processing datasets, ensuring integrity, accuracy, and organization;
• Working knowledge of Adobe suite and course management system such as CANVAS ;
• Experience planning and booking travel;
• Familiarity with financial systems and travel reimbursement procedures;
• Event planning experience;
• Ability to effectively present data in a variety of formats- text, graphs, infographics, etc.
