Executive Assistant

Position Summary:
The Executive Assistant (EA) will serve as the alternate point of contact for the Office of the Vice President for Information Technology and Chief Information Officer for executive administration and the primary for key senior leaders in the Division of Information Technology. The EA will provide exceptional administrative support for designated key senior leaders and backup to the lead executive assistant ensuring the leadership team and office operates in an informed, efficient, professional and courteous manner.
Responsibilities will also include:
- Management of the scheduling and preparation for Division of IT senior leadership meetings and presentations
- Working with complex and highly confidential matters
- Using excellent judgement and decision-making skills to ensure integrity and professionalism
- Ensure a smooth working relationship with division staff leadership and other Division of IT senior leaders
- Coordination of Division of IT-level events, including scheduling, room reservations, and catering
- Coordinating travel arrangements for designated senior leaders in the Division of IT
- Working with university departments, such as Purchasing and the Controller, to ensure a variety of business transactions are completed effectively and in a timely manner

Required Qualifications:
- Significant experience providing administrative support to executives or senior-level managers, including managing schedules and records management
- Significant customer service experience
- Demonstrated experience in a professional work environment
- Strong organizational, communication, and interpersonal skills
- Hands-on experience with coordinating multiple calendars
- Proficient in a variety of current office software applications, including Microsoft Powerpoint, Excel, Word, and Outlook
- Proven experience preparing presentations, spreadsheets, and documentation or communication on behalf of leadership
- Experience multi-tasking

Preferred Qualifications:
- Experience with higher education and university policies and procedures
- Event coordinating experience and a willingness to learn more about event coordination
