Title Position Reports To: Associate Director of Alumni Relations

The Assistant Director has the primary responsibility of establishing and fostering lifelong relationships between students/alumni and Adelphi University as well as identifying opportunities to engage the 100,000+ living alumni through on-campus collaborations that not only aligns with Momentum, the University's strategic plan, but also meets the following goals:

Student Success: Provide students with professional development training so they are prepared to be young alumni leaders.

Connections: Execute impactful programs to connecting alumni to current students in a meaningful way.

Campus Collaboration: Create new and expand existing campus partnerships to increase the Office of Alumni Relation's visibility and reputation.

RESPONSIBILITIES & DUTIES:

Student Success: Provide students with professional development training so they are prepared to be young alumni leaders

Devise, implement, and manage strategic plans for a vibrant Student Alumni Council, which will provide opportunities for students to interact with alumni and with each other during their undergraduate experience.

Work with relevant internal partners (e.g. Center for Student Involvement; leaders of student clubs and organizations; Greeks; others) to provide leadership training and professional development opportunities for Student Alumni Council and other students as needed.

Manage alumni involvement in career-related programming with the Center for Career and Professional Development such as the Leadership Certificate Program (LCP), Count on Alumni for Career Help (COACH) program, and the annual Women's Leadership Conference.

Create and implement a Student Engagement Strategy to include specific programs for undergraduate and graduate students that will enable the development of lifelong relationships between alumni and the University.

Connections: Execute impactful programs to connecting alumni to current students in a meaningful way.

Foster communications between and among students and alumni chapters and affinity groups including Graduate Student Council, LGBTQ+ Allies, MCC, and Veterans.

Assist University Advancement with the Senior Legacy Campaign by identifying and recruiting senior class leaders.

Respond to requests from students, other alumni, and various departments in regards to connecting with alumni about career or professional development issues and questions.

Campus Collaboration: Create new and expand existing campus partnerships to increase Office visibility and reputation.

With University Admissions, devise, implement, and manage strategic and tactical plans for a robust alumni Admissions Ambassador and Referral Program.

Working with University Admissions and Center for Student Involvement, coordinate Alumni Relation's role in admissions events (e.g. Accepted Student Days , Open House events, Welcome Weekend, etc.).

Coordinate alumni volunteers to connect with Legacy students and/or parents about Adelphi via face-to-face, email, phone, and mail.

Participate in the planning and promotion of all activities as they relate to Adelphi Spirit Weekend specifically focusing on the logistics of events, registration, and staffing of students and volunteers.

Coordinate and vet requests for event assistance and alumni connection from other university departments.

OTHER RESPONSIBILITIES:

Create, maintain, and evaluate a robust list of national and local benefits and discounts for our alumni. Promote and advertise regularly.

Work with benefits vendor/partners to promote and engage alumni through direct mail and email campaigns.

Create and distribute quarterly reports tracking participation and ROI on vendor/partners agreements.

Through effective volunteer engagement and cultivation, aid in the development of a pipeline of annual, lead, major, and planned gift prospects for Adelphi.

Assist in the management of department budget. This includes the transferring of monies, reconciling debits and credits, fixing of any errors as seen in SAAS system, and supervising input of all debits and credits for any transaction into the budget excel sheet and Raiser's Edge. Reconciling of cashier's receipts with budget log, as maintained by Associate Director of Alumni Relations and required by internal audit.

Oversee the payment and reconciliations of all of the Office of Alumni Relation's expenses all purchase orders, change orders, partial payments, check requisitions, expense reports. Supervise their entrance into budget excel sheet and Raiser's Edge.

Handle office management responsibilities including printer, copier, telephone and computer issues. This includes putting in tickets, following up on tickets, ordering equipment as necessary and requesting necessary maintenance and repairs.

Handle and/or oversee online purchasing of office supplies for department including business cards, envelopes, paper and Staples orders.

Perform other duties as assigned.

REQUIREMENTS:

Excellent verbal and written communications skills, including proficiency in e-communications. Strong working knowledge and experience with social media platforms.

Strong interpersonal skills. Ability to work well with students, and, to make the best and most effective use of student and alumni volunteers.

Ability to effectively manage multiple priorities/programs/projects and to creatively solve problems.

Ability to speak effectively and persuasively at student and alumni events and to make presentations to individuals and both small and large groups.

Ability to work independently. At the same time, ability to work effectively on teams with both internal (students/faculty/staff) and external (alumni/parents) partners and volunteers.

Experience in planning within defined budgetary and programmatic guidelines.

Understanding and appreciation of the prospect cycle: identification, engagement, cultivation, involvement, solicitation, stewardship.

Understanding and commitment to the mission, vision, and programs of Adelphi University.

PHYSICAL REQUIREMENTS: Ability and willingness to travel. Night and weekend work will be required.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:

Bachelor's Degree required.

Three-to-four years of experience in higher education advancement, alumni relations, admissions, student activities, or a similar field required.

Experience working with volunteers required.

Experience with Raiser's Edge (preferred) or similar CRM required.

Knowledge of and familiarity with Moves Management preferred.
