Administrative Assistant for Continuing Medical Education

Summary/Essential Duties and Responsibilities:

Responsible for all administrative support duties related to the Des Moines University Continuing Medical Education (CME) department.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Provide administrative support to the department by reconciling P-card transactions, managing mail and office supplies, taking meeting notes and/or minutes as requested, and serving as the primary contact.
  • Respond to and follow up with email correspondence in a timely fashion.
  • Monitor and track registration data for attendees.
  • Maintain the CME learning management system, including user accounts, activity websites, and post-activity documentation.
  • Compile and distribute CME activity evaluation summaries.
  • Prepare attendee confirmations, name badges, credit certificates, attestation forms, attendance rosters, and other documents needed for activities.
  • Compose and generate reports and/or correspondence.
  • Report CME hours to the appropriate accrediting bodies.
  • Responsible for maintenance of the English and Spanish medical terminology course. The ability to speak Spanish is not required.
  • Create the semi-annual CME e-newsletter.
  • Maintain physical and electronic client files.
  • Participate in department accreditation processes and self-study document completion.
  • Prepare CME and preceptor transcripts or letters as requested.
  • Participate in and successfully complete all University required training including, but not limited to discrimination/harassment and code of conduct.
  • Perform other job related duties and special projects as assigned.

EDUCATION and/or EXPERIENCE
  • Minimum high school degree required. Associates desirable, Bachelors preferred.
  • Three years administrative support experience required.
  • Continuing education experience and knowledge of accreditation standards preferred.
  • Experience in academic or higher education or healthcare is preferred.


ESSENTIAL SKILLS
  • Provide excellent customer service by communicating effectively with active listening skills including the ability to convey and receive verbal and written information effectively and efficiently as appropriate for the needs of the audience.
  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions and/or conclusions to problems.
  • Strong attention to detail and accuracy required.
  • Able to handle a broad variety of tasks efficiently in a deadline-driven environment with limited supervision.
  • Excellent interpersonal and organizational skills.
  • Professional appearance and demeanor.
  • Minimum 45 cwpm typing speed required.
  • Intermediate PC knowledge and skills. Experience in Microsoft Outlook, Adobe, Excel, Word and Power Point is required.
