ABOUT AIC

American International College is a private, coeducational institution of higher education located on a 70+ acre campus in Springfield, Massachusetts. The campus has 42 buildings on two sites approximately 1/2 mile apart with a total of approximately 660,000 gross square feet. Included in the inventory of buildings are student residences for a resident population of 900 students. Founded in 1885, the College has 3700 graduate and undergraduate students. AIC offers a variety of undergraduate and graduate programs through the Schools of Business, Arts and Sciences; Health Sciences; and Education. ESSENTIAL FUNCTIONS

Alumni Relations:

  • Create and manage the development opportunities for alumni engagement such as volunteer initiatives, career days, alumni events and reunions
  • Work to maintain and build new relationships between the Office of Institutional Advancement and a wide range of alumni, locally, regionally, and nationally.
  • Work to create young alumni programming including developing a student alumni /engagement program
  • Maintain regular communication with alumni via direct contact, email blasts, alumni web pages, and print publications that include the alumni magazine ("Lucent"), e-newsletters as well as the management of relevant content on social networking platforms such as Facebook, Twitter and Instagram
  • Manage all aspects of alumni events planning, including establishing program goals, managing budgets and communicating with various individuals and entities, both within the College and external organizations.
  • Events include:
    • Homecoming
    • Golf Tournaments
    • Networking and engagement events
  • Assist with day-to-day activities of the Office of Institutional Advancement including managing alumni correspondence, electronic newsletters, social media interactions and walk-in visitors
  • Work with Assistant Director of Annual Giving to implement strategies for marketing and promoting alumni activities, programs and services to encourage alumni involvement and participation
  • Oversee the planning and carrying out of alumni and other Institutional Advancement events
  • Develop detailed project plans for each event in collaboration with the department
  • Manage all internal and external event logistics, including but not limited to Homecoming, Veteran's Events, Networking programs, and President's Society
  • Coordinate all pre-event logistics including development of event invitations and other printed materials with the Marketing and Communications department
  • Work directly with alumni, campus partners and external partners to plan events
  • Work directly with food service provider (Chartwells) to develop menu and arrange for staffing
  • Work directly with facilities to ensure all event needs are met
  • Manage timelines; ensure milestones are met on time/budget by all team members
  • Ensure that all aspects of each event reflect the AIC brand
  • Oversee event logistics at the time of the event to ensure successful outcome
  • Develop the event concept in collaboration with sponsoring department
  • Solicit and manage third-party vendors as needed
  • Maintain, track, and communicate budgets for all events
  • Oversee invoicing and accounts payable processes
  • Set up and monitor on-line event registration and payment within Raisers Edge in collaboration with the Advancement Services Manager
  • Data base management for event invitation list creation and distribution
  • Perform all necessary follow-up activities after the event has ended
  • Work directly with Executive Director of IA to staff the campus-wide cross-functional events including: faculty staff giving, scholarship programming and assist with all scholarship administrative work.
  • Work with Advancement Services Manager to update alumni information and create queries for athletics, academic schools and all alumni based communications
  • Work on other projects as necessary

QUALIFICATIONS
  • Required Degree(s): Bachelor's Degree required
  • Preferred Degree(s): Master's Degree
  • Required Field of Expertise: Alumni Engagement and Communications
  • Preferred Field of Expertise: Event planning and Organization, Higher Education, non-Profit management

Knowledge/Skills/Abilities

  • Must possess proficient knowledge of Word, Excel, PowerPoint, and Outlook and the demonstrated ability to quickly learn other software programs that the department utilizes such as Constant Contact and Raiser's Edge.
  • A successful candidate will have enthusiasm, creativity, and organization skills as well as a sense of direction and follow through.
  • Strong written and verbal communication with attention to detail is required.
  • The ability to work with people from different backgrounds is essential
  • Knowledge of alumni relations, event planning, and marketing, as well as experience working with alumni, students, faculty and staff is desired

WORK SCHEDULE

This is a full time, exempt level, benefit eligible position. Normal Office Hours are 8:30 a.m. to 4:30 p.m., flexible to the needs of the department. Night and or weekend event work required as necessary.
