Program Coordinator

Position Summary:
The Program Coordinator serves as the event manager and provides support for the Virginia Tech Income Tax School in the Department of Agriculture and Applied Economics. Occupants in this position report to the Director of the Income Tax School. The Virginia Tech Income Tax School is an education program that provides credit offerings through multiple tax education seminars that allow tax practitioners to meet their individual continuing education goals.
The Program Coordinator is responsible for handling all conference details including planning, registration, on-site execution, creative services, and post-event financial reconciliation. Duties include, but are not limited to, contract completion and revision, ; coordination of catering, lodging reservations, and travel accommodations for faculty and seminar instructors; and drafting, editing, and distributing supplementary course material. The Program Coordinator will also need to create advertisements; enhance the website; maintain registration and attendance forms; apply for course approval through IRS and various agencies to maintain approved continuing education provider status; report and file of participants' earned credit hours to member agencies to ensure proper licensure;; create and file detailed financial reports for travel and expenditures related to seminars. The Program Coordinator will serve as main point-of-contact for seminar participants, instructors, accrediting agencies, and interdepartmental relations within Virginia Tech; provide excellent customer service and address customer concerns via phone, e-mail, and in-person; and assist the Director of the Income Tax School. Extensive travel required for on-site administrative duties at multiple seminar locations across state in November and December. This is a part-time position limited to 1500 hours per year.

Required Qualifications:
Demonstrated experience providing clerical and administrative support in a professional setting; Strong customer service skills; Ability to set and prioritize tasks in order to meet deadlines; Experience using Microsoft Office suite applications including Word, Excel, PowerPoint, and Outlook; Knowledge of web-design software and digital mass communication strategies; Must demonstrate a strong work-ethic and ability to work-well with others; Ability to sit and/or stand for extended periods of time; Ability to travel 5 days per week (Sunday through Thursday) throughout October 29th - December 14th, with the exception of Thanksgiving, to manage the on-site needs of the conference; the ability to lift 30+ pounds repeatedly.

Preferred Qualifications:
Degree in Hospitality Management, Agricultural Economics, Economics, or Business; Familiarity with Continuing Professional Education requirements and standards for agencies, individuals, and accredited institutions pertaining to income tax preparation; Experience using VT Hosting Web Design, Google Groups and listserv, and Adobe Acrobat; budget monitoring and planning; Experience with HokieSPA; knowledge of VT Travel application and reimbursement procedures; VT Travel training.
