Administrative and Operations Assistant

Position Summary:
Virginia Tech is seeking qualified candidates to serve as Administrative and Operations Assistant for the Center for Excellence in Teaching and Learning.
Job Responsibilities include:
-Provide support to the Director, Associate Directors, and staff.
-Front office reception to include greeting visitors, answering phones, reserving rooms, distributing mail, and setting the tone of a positive, helpful workplace.
-Administrative support to include scheduling meetings, maintaining detailed calendaring entries, scanning and filing, and the creation of meeting materials and presentations. This includes the development of PowerPoint presentations and Excel charts, composing and editing various documents, and creating mail merges.
-Responsible for business functions including bookkeeping, monthly financial reconciliations, fixed asset tracking, file maintenance, entering orders into HokieMart, monitoring budgets for university funds and sponsored projects, provide reports as needed, and advise on allowable use of funds.
-Individual will be responsible for updating the Center website and managing communications with faculty including teaching societies, Thank-a-Teacher program, and external teaching award materials preparation.
-Assist with event planning as needed. Manage office equipment maintenance and maintain office supply inventory. Handle data entry and transcription.

Required Qualifications:
- Experience providing high-level administrative support and customer service in a project-oriented office environment
- Proficiency with computer applications including Outlook and mail merge
- Strong organizational, communication and interpersonal skills
- Ability to maintain confidentiality
- Ability to organize and promptly process and prioritize varied assignments
- Ability to locate information from any source, using the web or university resources.

Preferred Qualifications:
- Bachelor's degree in a related field
- Composition, proofreading and editing experience
- Event planning experience and university experience
-Experience with HokieMart.
