Prospect Management Analyst

The Prospect Management Analyst is an integral member of the department of Prospect Management and Research ( PMR ), a department of the College Advancement division of Wheaton College. This position is responsible for providing data analysis and prospect management services to internal customers within Advancement who are responsible for fundraising and engagement among all constituents, including alumni, parents, and other individuals and groups that support Wheaton.

The Prospect Management Analyst supports Wheaton's development activities by serving in a collaborative, client-facing, partnership role with fundraisers and other departments within College Advancement. The Prospect Management Analyst works closely with prospect researchers and front-line fundraisers to support programs for the solicitation of principal gifts, major gifts, and the annual fund.

Responsibilities of the Prospect Management Analyst include, but are not limited to, the following:
• Provide strategic information analysis to ensure that Wheaton's fundraising efforts are focused on working with the right donors for the right gifts at the right time.
• Initiate, implement and/or maintain projects to enhance PMR's ability to measure prospect management and constituent engagement activity through projects such as constituent relationship mapping, predictive modeling, RFM analysis, and capacity ratings.
• Utilize business analytics tools, including WebFOCUS by Information Builders, Wheaton's reporting writing tool, and Excel, to perform analysis of individual portfolios and participation by constituents in activities sponsored by College Advancement.
• Prepare and deliver relevant statistics to fundraisers and Advancement leadership to raise the visibility and awareness of trends in prospect management and to monitor the performance of fundraising and engagement programs for alumni, parents, and other constituents.
• Develop and perform routine analysis, review and updating of prospect ratings, records of interactions with prospects, contact reports, and gift proposal data.
• Coordinate with staff programmers and/or analysts in the use and deployment of software systems such as Banner by Ellucian, WebFOCUS by Information Builders, and software-as-a-service (SaaS) providers like Evertrue.
• Review policies and procedures used by data entry staff to ensure continuous improvement in the efficient and timely flow of staff requests and resolutions.
• Lead continuous development of portfolios that include engaged prospects who have the capacity and inclination to give to Wheaton, by implementing policies and procedures to support a robust prospect pipeline.
• Work with fundraisers and prospect research staff to facilitate the assignment of newly identified or upgraded prospects and assist with processing portfolio transfers and reassignments as needed.
• Work collaboratively with development officers to assist in creating and managing portfolios, and implementing and recording strategic moves and solicitations.
• Provide prospect pool analysis and consultation to fundraising staff for the purpose of improving the quality of the prospect pool.
• Work with fundraisers and managers to develop strategies for prospect engagement, ensuring that the best prospects are being advanced to the field staff for qualification and assignment.
• Ensure that fundraisers acquire and maintain a deep understanding of their portfolio and prospective relationships.
• Initiate special projects aimed at expanding knowledge of alumni, parents and other constituents.
• Train and support development staff across the College through onboarding, group training, fundraiser check-ins and hands-on demonstration of Wheaton's technology solutions, as needed.
• Produce materials necessary to utilize portfolio management tools, explaining portfolio opportunities and challenges and assisting with next steps on individual prospects based on the data.
• Support PMR staff to ensure fundraising activities are in alignment with Wheaton's prospect management policy.

Minimum Qualifications:
• Bachelor's degree and three or more years of relevant experience, including at least one year of experience in research or data analysis required, or equivalent combination of education and experience.
• Demonstrated understanding of fundraising principles and practices.
• Experience in developing proactive prospecting methodologies using portfolio segmentation and peer screenings, for example.
• Experience in data analytics and basic financial analysis.
• Aptitude for working with research-oriented databases, including WealthEngine, Hoover's and iWave.
• Strong presentation and writing skills.
• Ability to analyze and synthesize data.
• Ability to interact well with all levels of the organization for the purpose of acquiring information and prioritizing work assignments.
• Ability to meet deadlines and work under time constraints.
• Strong commitment to accuracy and excellent judgment.
• Ability to translate wealth indicators into prospect ratings and gift estimates.

Preferred Qualifications:
• Experience with the application of predictive model scores.
• Experience working with Banner by Ellucian and/or WebFOCUS by Information Builders.
• Experience in a higher education or non-profit fundraising environment, including an understanding of advancement processes and terminology.
