Program Assistant 1 (UCP 3)


The School of Fine Arts at the University of Connecticut seeks candidates for a full time Program Assistant 1 (UCP 3) position in the Office of the Dean. Under the direction of the Assistant to the Dean, this position will provide administrative and programmatic support to a broad base of undergraduate, graduate and operational functions of the School.

This staff member will be expected to regularly exercise strong independent judgement within established practice and policy and to autonomously resolve a wide variety of administrative problems in a fast paced, student-centered environment. The incumbent will interact daily with the School of Fine Arts' student population, family members, and members of the UConn community, and must be able to provide exemplary service while exercising discretion and carefully maintaining confidentiality.

DUTIES AND RESPONSIBILITIES
  1. Serves as first point of contact for the Dean's Office.
  2. Performs routine administrative support functions of the office; coordinates work flow and processes administrative paperwork; sets priorities to meet calendar deadlines.
  3. Schedules appointments and meetings for two Assistant Deans; screens incoming mail and telephone calls for the office, making referrals as appropriate; manages reservations for the Dean's Conference Room.
  4. Serves as a resource to students, faculty, staff and others on matters relating to administrative procedures.
  5. Responds to requests for information and provides assistance in solving a variety of problems of ordinary difficulty, based on knowledge of procedures, practices and past experience.
  6. Provides the Assistant Dean/Chief Operations Officer (COO) administrative and program assistance to support the operational functions of the School.
  7. Maintains files and records, as well as a collection of resource materials and program information.
  8. Serve as a resource for search committees; supports the administration of hiring related data and uploads to the University's recruitment systems online.
  9. Trains, supervises, and establishes work schedules of student staff.
  10. May draft or independently compose and/or edit routine correspondence and other documents.
  11. As needed or assigned, may be responsible for special short term or ongoing projects that require planning, coordination and supervision, such as meetings, conferences, interviews, events; makes all necessary arrangements, including travel, and coordinates details.
  12. May be responsible for coordinating related administrative functions.
  13. Performs related duties as required.


MINIMUM QUALIFICATIONS
  • Bachelor's degree, or equivalent combination of training and experience
  • Minimum of 1 year of experience in a full-time, professional administrative support position, including some experience within a large, complex institution (university, corporation, etc.)
  • Experience scheduling appointments and coordinating calendars within Microsoft Outlook or similar software
  • High-level of proficiency with Word, Excel, and Outlook, or similar software
  • Experience working with PeopleSoft or similar enterprise software
  • Demonstrated ability to perform data entry, data management, and recordkeeping
  • Demonstrated ability to independently resolve problems and exercise judgment regarding administrative detail and procedures
  • Demonstrated ability to set priorities, organize and coordinate an office operation, anticipate needs, and work under the pressure of deadlines
  • Strong time management skills and the ability to work proactively
  • Strong attention to detail
  • Outstanding organizational and interpersonal skills
  • Excellent written and oral communication skills
  • Demonstrated ability to work collaboratively with different constituencies (e.g. administrators, faculty, staff, and students), and a commitment to cultural diversity and ability to work with individuals or groups with diverse backgrounds

PREFERRED QUALIFICATIONS
  • Bachelor's degree or higher
  • 2-5 years of experience in a full-time professional administrative support position
  • Previous experience in higher education
  • Previous experience in an executive level office
  • Previous experience at UConn
  • Experience supervising student employees
  • Knowledge of FERPA regulations
