We are looking for an Administrative Assistant to join our Benefits and Payroll team at Simmons College. Reporting to the Assistant Vice President for HRIS, Benefits and Payroll, you will be the first point of contact for staff, faculty and students, providing high level client service and operational support. You will contribute to, and foster, the office culture of customer service, collaboration, and professionalism. Responsibilities:

Client Service
  • Respond to a high-volume of Human Resource related inquiries via email, walk-in, and phone in a friendly and professional manner
  • Manage the new hire onboarding process including the new hire paperwork appointment, I-9 and employment verification process, as well as ensure new hires complete their onboarding tasks in Simmons' HRIS system, Workday
  • Process employee paperwork including but not limited to compensations forms, offer letters for adjunct faculty, employment verifications and I-9s, tuition remission, loan forgiveness, exit packages etc.
  • Manage the employee offboarding process in Workday including the coordination and mailing of the exit package

Operations
  • Distribute correspondences, order supplies, file paperwork, and maintain the presentation of the office and filing/supply room
  • Ensure the integrity of the Workday system including new hire and employee termination events
  • Manage AVP's calendar and calendar changes that effect the Benefits and Payroll team
  • Coordinate and support Benefits and Payroll event planning including room reservations, catering, marketing and communication and onsite support
  • Facilitate updates and ensure the Benefits and Payroll intranet website is current
  • Other responsibilities as assigned

Qualifications:
  • Bachelor's degree or equivalent practical experience with a minimum of 1 year of work experience required
  • 2+ years of experience in a similar role preferred
  • Experience in Higher Education or Human Resources a plus
  • Strong communication skills, verbal and written
  • Experience working in a fast-paced environment
  • Excellent customer service skills
  • Ability to handle confidential information with discretion and professionalism
