Clerkship Coordinator - College of Podiatric Medicine and Surgery

Summary/Essential Duties and Responsibilities:

The Clerkship Coordinator provides complete logistical and clerical support to the Associate Dean of Clinical Affairs, in service to the Office of Clinical Affairs, while maintaining consistent quality, performance, and achieving above standard results. Maintain official clinical evaluation/scheduling records according to administrative policies determined by or in conjunction with other officials. Responsible for scheduling required and elective rotations and the accurate data entry and auditing of student material that supports each second, third and fourth year student's individual graduation track. Develop and maintain the CPMS Clinical Affairs Pulse page to provide current information to students and faculty. Support generated by this position assists the Associate Dean for Clinical Affairs in providing the highest quality clinical educational experiences for podiatric medical students.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Prepare, distribute, and post materials relating to second, third and fourth year clinic manuals, forms and other relevant clinical rotation and residency information on the CPMS Pulse site.
  • Work in collaboration with the Associate Dean for Clinical Affairs to prepare and maintain second- third- and fourth-year clinical rotation schedules and assignments, adhering to site requirements for student acceptance.
  • Utilize E*Value software to maintain, distribute and collect clinical rotation evaluations from both students and preceptors coordinate with rotation sites, and the DMU Senior Vice President and Chief Financial Officer to ensure the continuation of current contracts and affiliation agreements, and maintain relevant records.
  • Collect and record data regarding student clinical training on a continual basis.
  • Compile and upload materials relating to students' CASPR (Central Application Service for Podiatric Residencies) applications.
  • Work in collaboration with the Associate Dean for Clinical Affairs to arrange BLS and ACLS instruction for students and record student compliance.
  • Work in collaboration with the Associate Dean for Clinical Affairs to schedule on-campus residency program visitations, class meetings, meetings from external agencies, and other meetings as assigned.
  • Prepare and maintain residency placement reports.
  • Ensure proof of immunizations, proof of insurance, and other administrative information required for students to successfully complete rotations.
  • Generate letter of agreement to establish rotation placement confirmation.
  • Compile and distribute relevant information as requested by the CPMS Dean's Office, or the Academic Progress Committee. Serve as the liaison for the Associate Dean for Clinical affairs with students, core hospitals, college administrators, departments, etc.
  • Assist the Associate Dean for Clinical Affairs in record keeping and performance tracking via the collection and housing of data and generation of reports. Work with Information Technology Services and other University service departments to improve efficiencies in the duties of the CPMS Office of Clinical Affairs.
  • Participate in and successfully complete all University required training including, but not limited to discrimination/harassment and code of conduct.
  • Perform other job related duties and special projects as assigned by the Associate Dean for Clinical Affairs, or Dean of the College.

EDUCATION and/or EXPERIENCE
  • High school degree or equivalent required. Associates degree preferred.
  • Two years of administrative and/or scheduling experience required.
  • Familiarity with higher education process and medical terminology desirable.
  • Knowledge of form and report development desirable.
  • Experience working with sensitive information and maintaining confidentiality.
