Executive Assistant to Department Head

Position Summary:
Fulfills all administrative assistant and secretarial functions for the Department Head of the Grado Department of Industrial and Systems Engineering ( ISE ). Provides additional general administrative support to the ISE Department, with a particular focus on faculty recruiting and permanent record/personnel files.

Required Qualifications:
  • Significant experience in a dynamic, administrative office environment.
  • Demonstrated knowledge of office filing practices, handling of confidential materials and information, business correspondence, secretarial staff assignments and coordination.
  • Experience in, or ability to learn, the practices associated with coordination of recruiting and interviewing of faculty/staff.
  • Ability to interact with other professional offices on and off-campus.
  • Demonstrated attention to detail
  • Ability to independently prepare
    routine office memos and external correspondence.
  • Ability to prioritize work so as to meet deadlines with high-quality work products.
  • Effectiveness in establishing and maintaining effective relationships both within and outside the Department.
  • Ability to operate independently.


Preferred Qualifications:
  • Formal secretarial and/or administrative assistant training and/or significant experience working in higher education.
    *Knowledge of university policies and procedures.
    *Certified Administrative Professional or other administrative certifications.
