Executive Assistant

Position Summary:
The Executive Assistant provides specialized and complex administrative activities in support of the Senior Associate Vice President ( SAVP ) and the Assistant Vice President ( AVP ) for University Relations including coordinating and scheduling meetings, managing the calendars for the SAVP and the AVP , assisting in preparation of presentations, memos, and institutional replies on sensitive topics, and facilitating effective interaction within and outside the university. The SAVP is a member of the Senior Leadership Team for the Advancement Division, a member of the President's Leadership Team, and serves as the university spokesperson. The AVP serves on the Executive Team of the SAVP , is the deputy university spokesperson, and provides support for management of sensitive and issue-based communications. Both the SAVP and the AVP rely on the Executive Assistant to set up effective and efficient processes that allow them to focus time and effort strategically to achieve key division and university goals. The Executive Assistant provides key support for the role the SAVP and AVP play in managing leadership, sensitive, and issue-based communications at the executive level of the university. He/she must be able to work under pressure at times to handle a wide variety of activities including confidential and sensitive matters.
The Executive Assistant communicates regularly with equivalent and/or higher level personnel within the university, including Burruss Hall personnel. He/she will supervise the work effort of the Administrative Scheduler in University Relations as well as provide ad hoc direction to other University Relations administrative support. The Executive Assistant creates a team and an informal process where administrative support for the SAVP and AVP is seamless across administrative staff and their locations (Burruss Hall and University Gateway Center). Among these responsibilities is phone support for everyday communications and issue-based communications response.
The ideal candidate must be professional, organized, flexible, and self-directed. He/she must have strong interpersonal skills, maintain strict confidentiality, and be an effective communicator.
Core Responsibilities:
- Develop an in-depth understanding of the priorities, needs, and roles of the SAVP and the AVP within the university to appropriately commit time to those requesting access to the SAVP and AVP .
- Coordinate the activities of the SAVP and AVP , including management of complex calendars, travel arrangements, and associated logistics.
-Manage immediate response for public reaction to crisis, issues, and emergencies. Track and report on a timely basis.
-Maintain emergency policies and procedures manual for weather and related incidents.
- Maintain awareness of the scheduling for Advancement work planning and performance review processes. Provide support for the budget process.
- Independently prioritize, plan, coordinate and/or oversee logistics for meetings and conferences with individuals and entities internal and external to the university.
- Develop, review, edit, and draft presentations, memos, and institutional replies in collaboration with the SAVP , the AVP , and the Executive and Senior Leadership teams. Independently research and compile materials needed for presentation and/or decision making purposes.
- Anticipate leadership needs and proactively solve problems and/or independently handle issues as necessary.
-Maintain vacation and on call schedules for SAVP and the AVP .
- Maintain the strictest levels of confidentiality and interact with appropriateness to all levels of the organization.
- Other special projects and duties as assigned.

Required Qualifications:
- Bachelor's degree or a combination of training and experience equal to a related bachelor's degree.
- Demonstrated high-level administrative experience supporting executive-level individuals within a fast-paced and demanding environment.
- Advanced computer skills and demonstrated proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Prior experience working in a team-oriented environment.
- Proven experience adapting to a variety of software collaboration platforms.
- Experience coordinating domestic travel arrangements.
- Proven ability to cultivate positive working relationships, build and maintain a team-based approach, and gain the trust and respect of all levels of internal and external constituencies.
- Demonstrated ability to perform duties with a high level of professionalism, confidentiality, flexibility, discretion, judgment, diplomacy, and tact.
- Ability to multi-task, adapt to changing priorities, and meet deadlines.
- Excellent communication skills.
- Ability to maintain strict accuracy and be hyper-sensitive to details.
- Exceptional planning and organizational skills.

Preferred Qualifications:
- Prior experience at Virginia Tech or other higher education environment.
- Demonstrated experience creating and maintaining policy and procedure documentation.
-Demonstrated ability to maintain a professional demeanor when managing the public.
- Proven editing and journalistic skills.
