Executive Assistant, Management

The Executive Assistant should be able to work in an evolving work environment while maintaining a positive disposition and be highly organized and willing to develop organization structures and procedures in a collaboration of others. The position will provide support of a highly detailed and responsible nature to the Dean of the College of Management and interface with diverse internal/external contacts requiring considerable discretion and initiative. The Executive Assistant to the Dean uses sound and effective judgment to prioritize work, managing calendars, emails, and time sensitive demands.

Job Duties:
• Support the Dean in interfacing with all on- and off-campus constituencies through various media and technology so that the Dean can effectively represent the College of Management both internally and externally.
• Provide high-level administrative support to the Dean including, but not limited to, managing and maintaining schedules and calendars, scheduling and coordinating meetings, and preparing travel arrangements and reimbursements.
• Maintain calendar of annual activities and responsibilities and remind the Dean/department chairs/program directors of upcoming tasks.
• Manage and compose written communication on behalf of the Dean and prioritize constituent needs for individual meetings with the Dean.
• Communicate with department chairs and program directors regarding meetings and policies.
• Coordinate all logistics for meetings and special events including, but not limited to, travel, space reservations, contractual documentation, dinner arrangements, and campus event and technical support. Attend and take minutes at specified meetings and ensure minutes are distributed to appropriate individuals in a timely manner.
• Maintain schedules for faculty reviews and leave eligibility.
• Review and print annual salary letters (prepared by the Provost's office) for all Management faculty as well as merit review feedback and University Review Committee letters to faculty who are reviewed.
• Provide needed files and information for various meetings and conferences. Assemble background materials for items requiring a decision or action.
• Maintains confidential records for the Dean concerning University and College committees meetings, department reviews, faculty retention, tenure, promotion, and merit reviews, salary, administrative reviews, student information, and search committees.
• Ensure the Dean's office follows the University's record retention policy.
• Assist with all aspects of special projects, as assigned by the Dean.
• Communicate effectively, both in writing and orally, with faculty, students, administrative personnel, staff, and parents to address inquiries relating to policies, procedures, and practices.
• Answer questions or provide referrals to appropriate resource person(s).
• Establish and maintain effective working relationships with all members of the Dean's and College Staff.
• Various other duties as assigned.

Minimum Qualifications:
• Five years of high level administrative experience
• Proficiency with quantitative data and knowledge of financial processes
• Demonstrated ability to work effectively under pressure, with little day-to-day direction or supervision
• Ability to work on multiple projects simultaneously in a deadline-driven environment
• Demonstrated ability to maintain strict confidentiality and exercise good judgment in the discharge of all duties
• Excellent problem solving and organizational skills
• Excellent written and verbal communication skills
• Ability to relate tactfully and diplomatically to a wide range of constituencies, including students, parents, faculty and Trustees
• Demonstrated information-gathering skills
• Proficiency on a computer, with experience in the areas of word processing, spreadsheets, and use of email and the web
• Interest in continuous enhancement of information technology skills, as well as other professional development
• Ability to maintain a flexible schedule, working occasionally on evenings and weekends
• A proven collaborator who can work effectively within a complex and diverse organization

Preferred Qualifications:
• Administrative/office experience in an educational setting
