Recruitment Coordinator


Position Title: Recruitment Coordinator

Position Location: Queens, New York

Position Summary:

This position is responsible for supporting recruitment activities for the Office of Human Resources. The position requires the person in this role to multi-task, maintain a high level of detail, display superior customer service skills and the ability to handle confidential information and data. The position reports to the Director of Recruitment.

Responsibilities:

  • Provide customer service to potential applicants, internal employees transferring, and students regarding any Recruitment related questions and concerns
  • Track and maintain open positions in BANNER and establish a recruitment file for each position
  • Post positions and confirm they are active in the applicant tracking system and remove positions when filled
  • Research specialty niche sites for specific positions and post positions to these sites when approved
  • Responsible for background checking prospective new hires and escalating any potential issues.
  • Conduct first level phone screens with potential applicants as needed
  • Prepare, coordinate and send new hire paperwork to prospective hires and ensure the paperwork is complete
  • Prepare offer letters and coordinate with the hiring department for signature and mailing of letter
  • Coordinate scheduling of new hire orientation and notify hiring manager
  • Forward new hire on-boarding checklist to hiring manager and assist with arranging system access, ID card, parking, telephone, e-mail access, etc
  • Prepare a file for each new employee and collect, organize, and review paperwork for completeness prior to handing off to Payroll
  • Review I-9 documents, make copies, ensure form is completed correctly
  • Handle departmental filing of forms and documents related to recruitment function
  • Handle the incoming and outgoing inter-department mail as well as special deliveries
  • Answer telephones and respond to basic inquiries; direct callers to appropriate department/individual
  • Reception coverage
  • Special projects as assigned

Qualifications, Experience and Skills:

  • Minimum 2 years clerical or administrative experience, preferably in Human Resources
  • High School diploma required
  • Knowledge of Recruitment function preferred
  • Excellent telephone and communication skills
  • Attention to detail and well organized
  • Solid computer skills
  • Commitment to University mission and values
