Administrative Assistant

Position Summary:
The Administrative Assistant will facilitate a wide variety of administrative and business functions for the Department of Engineering Education. Located in Goodwin Hall, Engineering Education is a core provider for undergraduate Engineering, and a leader in education research. The Administrative Assistant will harmonize our front office activities, responding quickly and professionally to the inquiries and requests of our diverse visitors, parents, and students. They will serve as a point of contact and reliable assistant to the Department Head, and Assistant Dept Heads. They will also have an essential role in Departmental Business functions. Routine work will include: written communications, room scheduling, travel processing, event planning, mail handling, filing, employee on-boarding assistance, promotion & tenure committee support, and other office projects/tasks as needed. As part of our office team, they will be a backup for critical tasks of fellow staff members. This position will be expected to maintain data security and confidentiality of sensitive records and information.

Required Qualifications:
The successful candidate will be an enthusiastic team player, have a strong work ethic, and be interested in a dynamic academic department environment. Their skill set must include:
• Previous administrative support experience in a professional or academic office setting.
• Business computing proficiency especially with the core Microsoft Office applications (Outlook, Word, Excel at a minimum) and common Internet browsers.
• Experience in a position demanding accuracy and strong organizational skills.
• Demonstrated communications skills and ability to work comfortably with a diverse population.
• Record of strong customer service, with ability to professionally handle stressful, complex situations.
• Ability to work with limited supervision and correctly prioritize work.

Preferred Qualifications:
-Experience coordinating events and planning travel arrangements.
-Familiarity with Banner and CANVAS , processing wage payroll, and navigating enterprise procurement systems (such as HokieMart).
-Understanding of I-9 employment authorization, background checking, and immigration processing.
-Skills with PowerPoint presentations and Desktop publishing would be a plus.
-Working knowledge of University policies and procedures.
