Administrative Coordinator - Academic Affairs, School of Dental Medicine

The Office of Academic Affairs supports the predoctoral dental curriculum content, faculty and scheduling. The Academic Dean and Academic Affairs Administrative Coordinator work closely with the Administrative Coordinator.

The Office of Academic Affairs is responsible for managing the on-line curriculum course content (TUSK and TRUNK), examination grading and posting, student course and faculty evaluations, student clinical progress and Dean s letters of recommendation. This Office also manages all internal and external survey data, including reports for the Commission on Dental Accreditation.

The Office of Academic Affairs coordinates and develops innovation in the curriculum (integration and use of technology and assessments).

The main responsibility of the Administrative Coordinator is to establish and maintain student schedules and all curriculum and meeting room scheduling. This involves meetings with the Academic Dean and Academic Affairs Administrative Coordinator to discuss changes in the curriculum and to create the schedule, independent meetings with faculty to discuss changes in their courses and to support their efforts and one-on-one meetings with students to modify their schedules as needed. The Administrative Coordinator is responsible for accessing all curriculum syllabi as needed for the Office of Academic Affairs. This person works closely with the Administrative Coordinator of Academic Affairs in communications, room bookings, Faculty Development programs and other tasks. The Administrative Coordinator works with the Academic Affairs Administrative Coordinator and the Academic Dean to schedule students for the BaSiCSsss course. This person collaborates with the Academic Dean concerning scheduling goals and new academic programs. The person in this position assists with the creation of policies to handle student absences and clinical swaps, room bookings and room usage and ensures adherence to these policies. This position works very closely with students and faculty to provide customer service, while maintaining faculty and academic perspective and interests. This position manages and communicates to the School schedule changes that affect part of or the entire community. This individual works closely with the Senior Education Technology Administrator in posting schedules on Canvas, AxiUm, and the Wordpress scheduling website. The Administrative Coordinator is the Academic Affairs liaison with the Office of Student Affairs in issues of student support, absences, designing special curricula, and enforcing scheduling protocols. This position also designs schedules for combined programs such as the DMD/MPH. The Administrative Coordinator participates in initiatives related to scheduling. The person in this position will participate in giving feedback as well as assist with the documentation and helping users understand new scheduling systems as needed and will assist with the implementation of and training for any new scheduling software. The Administrative Coordinator is cross trained with the staff in Academic Affairs to assist as needed.


Qualifications:

Basic Requirements:
  • 2-3 years of experience.
  • Associate s degree and 2 years experience OR a High School degree with 3 years experience/Bachelor s degree preferred.
  • Computer expertise and experience in Microsoft office including word, excel, powerpoint, adobe and databases, familiarity with using websites.
  • Excellent organizational and interpersonal skills with attention to deadlines.
  • Team spirit.
  • The ability to work collaboratively within and across departments.
  • Excellent reading and proofing skills.
  • Needs to be extremely accurate and detail oriented.
  • Open to development.
Preferred Qualifications:
  • The schedules are currently in Excel and Word; knowledge in these areas must be proficient.
  • It is imperative that the applicant has excellent interpersonal skills with faculty, students and other staff.
  • Expertise in student advising would be helpful as the person works closely with students and at times must advise them regarding their responsibilities and scheduling decisions and how it impacts their patients.
