Executive Secretary II/S


Position Summary
Provides executive support to the Chairperson and to the Associate Chairperson responsible for coordinating the graduate program. Assists the Graduate Program Coordinator with graduate application and admissions processes; generates graduate assistantship letters and appointments; initiates, processes and maintains required electronic and hardcopy of forms, files, and student records; monitor/oversee graduate program funding; assists graduate students with pre-travel arrangements and reimbursements. Assists the Chairperson by collecting information and data to produce reports; collects and monitors materials to assist the Chairperson with reappointment, promotion and tenure reviews, and annual faculty reviews; provides administrative support including scheduling meetings and appointments, managing the Chairperson's calendar and travel arrangements, and word processing/correspondence. Supervises Office Assistant IV staff member; creates/implements policies and procedures to ensure front office area is functioning properly and paperwork (reimbursements, requisitions, payroll) is processed in a timely and accurate manner. Interacts with students, office support staff, faculty, administrators, and the public to provide information and guidance on various processes and operational issues while maintaining confidentiality.

Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with course work in word processing, typing, and grammar; five to eight years of related and progressively more responsible or expansive work experience in maintaining account ledgers, word processing, editing, composing correspondence, taking dictation, spreadsheet, database, desktop publishing, and/or presentation software; office procedures, and experience working in a professional office setting; or an equivalent combination of education and experience.

Desired Qualifications
Ability to manage multiple, simultaneous projects and schedules with overlapping timelines and demands; experience working with academic departments, colleges, and public/community organizations; arrange/process travel; ability to work/think independently, render decisions based on relevant information, use good judgement and maintain confidentiality. Experience supervising regular staff and maintaining office workflow. Working knowledge of MSU financial and student records systems such as Student Information Systems (SIS), Enterprise Business systems (EBS), HR/Payroll Systems (SAP), Kuali Financial System (KFS), Graduate Student Applications (GAMS), Grad Plan/Grad Info, Degree Audit; graduate student application and assistantship processes. Familiar with the faculty reappointment, promotion and tenure process. Experience arranging and reimbursing domestic and international travel; creating and editing spreadsheets; monitor/oversee graduate program funding/budgets; scheduling meetings/calendaring. Ability to work collaboratively in a team environment; strong communication skills, both written and verbal. Experience or background in animal or agricultural sciences. Knowledge of MSU's policies and procedures.
