Fiscal Administrator and Receptionist

Position Summary:
Fiscal Administrator and Receptionist provides fiscal and operational support to the History department's faculty, staff, and students, and serves as first-point of contact in the main office. Essential duties to the operation of the unit include receptionist, fiscal, and business functions, including ability to address routine and non-routine fiscal issues; independently respond to request(s) by phone, electronically, or in person; prepare and process purchasing, accounting, TEM /travel, and reimbursement forms. Performs monthly reconciling transactions, and maintains accurate, and up-to-date spreadsheets for all accounts. Knowledge and use of of Excel, Google Drive, and/or comparable applications to prepare monthly reconciliation and financial reports for individual faculty, office manager, and department chair. This position must be able to work both independently and collaboratively with faculty and staff, and serve as back-up to the office manager in personnel transactions, contracts, and TimeClock.

Required Qualifications:
- Administrative training and/or experience in performing tasks that support the operation of an academic or professional office environment.
- Previous customer service experience.
- Computer skills such as database management, electronic spreadsheets, email, and internet.
- Ability to prioritize and manage time effectively for performing multiple tasks.
- Strong analytical and organizational skills.
- Ability to work independently and interpret and apply university and departmental policies and procedures.
- Ability to work with frequent interruptions, be detail orientated, prioritize work, solve problems, and perform multiple functions simultaneously.
- Ability to perform technical duties such as reviewing and processing transactions, perform monthly reconciliations, and process general accounting transactions, travel, and general reimbursements transactions with accuracy and conformity to university policy.
- Ability to work effectively in a small office team environment with frequent interruptions.

Preferred Qualifications:
- Knowledge of Virginia Tech Controller's policies and procedures.
- Demonstrated experience with financial systems such as HokieMart, Banner, Travel and Expense Management ( TEM ) system or comparable software.
- Receptionist experience.
- Experience with reconciliation.
- Database management experience.
