Position Summary:

The Administrative Assistant serves as the receptionist, provides clerical support, and is responsible for supporting the Manager, Coordinators, and Specialists within the department. The Administrative Assistant ensures policies and procedures regarding clerical support activities are carried out, and is responsible for facilitating payroll activities for all departmental staff.


Duties and Responsibilities: Serves as the primary Disability Services receptionist by greeting and directing students, referrals, and visitors, and appropriately routing phone calls. Distributes and collects necessary and appropriate information and forms pertinent to students seeking services, and copies materials, as needed. Serves as initial contact for faculty and staff with general questions about services and accommodations, and those seeking to use available resources or meet with Disability Services staff. Takes messages and schedules appointments for services. Ensures reliability and accuracy of departmental computer databases and paper files, maintaining confidentiality. Maintains budgetary accounts and records; oversees purchase of unit materials and program equipment. Maintains inventory of office supplies and prepares supply orders. Prepares travel authorizations and requests. Assists with test proctoring activities. Recruits, assigns, schedules, and assists the Manager with all student workers; monitors and processes student worker hiring/separation paperwork and timesheets. Other related duties as assigned.

Required Qualifications: High School diploma or equivalent. Two (2) years of office experience.

Preferred Qualifications: Associate's Degree. Experience working with people with disabilities. Experience in higher education. Experience with the Banner database system.

Knowledge, Skills, Abilities, and Work Characteristics: Ability to communicate effectively and work cooperatively with a diverse faculty, staff, and student population. Ability to recognize when a problem exists and maintain composure in difficult situations; ability to cope with conflict and stress. Ability to maintain confidentiality. Strong oral and written communication skills with accuracy to detail. Strong interpersonal, organizational, and time management skills. Knowledge of computers, word processing and spreadsheet applications, and electronic mail; proficient in Microsoft Office applications.

Pay Rate: 24,490.00 - 28,508.00 annual salary depending on experience
