Overview

The Lewis-Sigler Institute for Integrative Genomics at Princeton University is seeking an assistant grants manager, at the rank of ADM030, to assist with the administration of research grants for our faculty, students, and research staff. Under the supervision of the Grants and Finance Manager, the Assistant Grants Manager's primary responsibilities will be pre- and post-award activities related to various sponsored research projects in the Lewis-Sigler Institute.



Responsibilities

Specific responsibilities include:
  • Pre-Award Activities: guide the PI through the application process, ensuring that requirements for each proposal are fulfilled as described by the program announcement; prepare the budget and the budget justification; prepare and/or review administrative documents required for applications; process subcontract agreements; prepare proposal submissions to the Office of Research and Project Administration (ORPA) and funders through the Princeton University Grants Management System (COEUS) and the appropriate sponsor system such as Grants.gov or Fastlane, or directly to the funding agency/foundation as necessary; confirm that proposals are submitted to and received by the agency before the sponsor's deadline; prepare Just-In-Time information at the sponsor's request.
  • Post-Award Activities: complete any paperwork necessary to set up the award; perform re-budgeting tasks as necessary; work with PI to carefully monitor effort and spending on awards; edit effort as needed in the Labor Accounting system; process journal entries to transfer erroneous charges; prepare cost transfer documentation for PI review and submission as necessary; work with PI and lab personnel to ensure compliance; maintain PI Current & Pending Support documents; assist with any required reporting, process any administrative or budgetary sections of reports; assist Sponsored Research Accounting in preparing interim and final financial reports when needed; review and approve purchase orders/requisitions for equipment/supplies and other expense reports for compliance; prepare monthly forecasts and spending updates for Principal Investigators to review with Grants and Finance Manager and/or faculty regarding their research funds; work with other universities and sponsors on the transfer or relinquishment of grant awards.
  • Other: Attend all relevant training classes and stays current with changes in policies, procedures and processes pertaining to sponsored research and financial management; serve as the central interface between principal investigators, sponsors, ORPA, and Princeton's Sponsored Research Accounting; make decisions and judgments covering routine situations within established guidelines, knowing when to go to the Grants/Finance Manager for guidance; assist with special projects as needed.


Qualifications

Essential Qualifications
  • Bachelor's degree or equivalent work experience of 1-3 years accounting, business and grant experience.
  • Working knowledge of federal regulations regarding fiscal management of federal funds including Uniform Guidance.
  • Excellent organizational and interpersonal skills.
  • Excellent written and verbal communications skills.
  • Ability to exercise independent judgment to plan and prioritize diverse workload.
  • Ability to creatively solve problems and formulate/implement process improvements.
  • Excellent data gathering skills.
  • Ability to manage multiple priorities in a fast paced, changing environment;
  • Ability to take initiative, self-motivate and function autonomously.
  • Able to handle frequent deadlines.
  • Able to handle changing environment.
  • Must maintain strict confidentiality of personnel and salary information.
  • Flexible.
  • Strong computer skills: experience with Microsoft Office Suite software, excellent skills in MS Excel, proficient in Word and Outlook.
  • Ability to function effectively in a team-based environment.

Preferred Qualifications
  • Experience with University Systems and Software including PeopleSoft, Prime Financials, COEUS, Labor Accounting and the Information Warehouse.
  • Familiarity with University Resources (ORPA, Office of Finance and Treasury, Sponsored Research Accounting).
  • Familiarity with Princeton's administrative procedures and policies.
