Reporting to the Director of Online Recruiting and Operations, the Recruiting and Operations Coordinator will support the full spectrum of critical online/remote hiring recruiting goals and objectives, as well as key operational initiatives. This position will provide operational support across the online recruiting disciplines to enhance efficiencies in pipeline management, applicant tracking, and facilitating new hire procedures for faculty candidates for the Simmons Online graduate programs throughout a fast pace full-cycle recruiting process. The Recruiting and Operations Coordinator will work collaboratively with members of both the Human Resources and Strategic Initiatives team to deliver a positive applicant and onboarding experience to new talent. In addition, the Recruiting & Operations Coordinator will assist with key online operational initiatives including State Authorization, compliance, and other operational duties as assigned.

Essential Functions

Cross Program Recruitment Operations
  • Create, manage and monitor faculty centric job requisitions, coordinate internal and external job postings, and maintains candidate statuses within the applicant tracking system;
  • Schedule telephone, video and in person interview and coordinate interview logistics with candidates and stakeholders;
  • Execute and track high-volume offer communications and assist Talent Recruiter(s) in management of candidate expectations;
  • Maintaining checklists for compliance;
  • Establish and maintain collaborative partnerships with members of key cross-functional areas to actively identify opportunities for operational process improvement and develop and implement more efficient and scalable solutions in recruitment operations;
  • Responsible for compliance adherence of new talent paperwork such as remote form I-9, background checks, national hiring compliance, licensure and certification tracking, and completion of required trainings;
  • Track, maintain and report on hours for variable hourly employees in accordance with the Affordable Care Act requirements;
  • Responsible for maintaining pipeline and tracking data, leveraging Excel, Workday and other databases, including core demographics, pay, certifications, licensure and other key reportable metrics.

Operational Support for Simmons Online Initiatives
  • In collaboration with Simmons Online, is responsible for all administrative activities related to State Authorization. This role will assist and coordinate communications, application and renewal, reporting, documentation, bond insurance, secretary of state application and other administrative work to ensure the following programs and the institution are in compliance for providing online education and clinical education in each of the 51 states including District of Columbia and territories of the United States;
  • Provides operational support to Simmons compliance team related to Boards of Professional Licensure;
  • Assists with operational needs related to @Simmons program Immersion Weekends;
  • Assists in other operational tasks as assigned.

Select Program Recruiting Support
  • In collaboration with Simmons Online recruiting team, provide sourcing assistance to support national pipeline development;
  • Assist in active and passive outreach leveraging both traditional and creative methods using multiple recruiting sources in addition to internet sourcing techniques to identify and connect with potential candidates for Simmons Online programs;
  • Effectively leverage social media and sourcing tools in alignment with hiring priorities and goals;
  • Deliver comprehensive support to business hiring groups and candidates throughout the full-cycle of recruitment process, to ensure a smooth recruitment process execution and a positive candidate experience.


Education
  • Bachelor's Degree or equivalent work experience required.

Required Technical Skills
  • Advanced proficiency with MS Office (Word, Excel and PowerPoint);
  • Intermediate proficiency with Adobe Suites;
  • Experience with Workday preferred.

Knowledge, Skills & Abilities
  • Minimum 2-3 years of experience working in a relevant human resources, recruiting, and/or sourcing related environment with position with demonstrated experience in project coordination;
  • Strong sense of urgency and flexibility to work in a fast paced and changing environment;
  • Excellent verbal and written communication skills, including editing and proofreading;
  • Exceptional planning and organizational skills;
  • Ability to take initiative and ownership of projects;
  • Demonstrated ability to handle sensitive issues and maintain confidentiality;
  • Proven ability to perform duties with a high level of professionalism, flexibility; discretion, judgment, diplomacy and tact;
  • Ability to multi-task, adapt to changing priorities, and meet deadlines.
