Overview

The department manager in the Department of Ecology and Evolutionary Biology works closely with the department chair to execute policy and strategic direction for the operation of the department. In addition, the manager participates in short and long-term planning for department operations and activities. While the chair establishes the academic and intellectual direction of their department, the department manager provides support for the chair's vision and for the day-to-day operation of the department. The manager is responsible for ensuring that the faculty, students, and staff have the necessary assistance to carry out their academic, research and administrative duties. This position reports directly to the department chair, with a secondary reporting relationship to the Assistant Provost for Academic Management in the Office of the Provost.

The three most important aspects of the department manager's responsibilities are financial management, staff supervision, and academic management. The department manager ensures that all internal deadlines are met and that the department is compliant with all internal guidelines and external regulations.

Responsibilities

Budget and financial management: The department manager develops the administrative budget for the department, in collaboration with the chair. The manager is responsible for careful and appropriate management of the administrative allowance, any endowed or restricted funds, and any grants or sponsored research. The department manager monitors spending and provides regular and timely analysis and projections of the available funds to the chair.

Staff supervision: The department manager supervises the hiring, performance reviews, merit increase process and terminations of roughly 14 administrative and technical staff. Human Resources staff members in the department have a formal reporting relationship to the department manager, although they may have an informal or secondary reporting relationship to a faculty member or other staff member.

Research Compliance, Safety and Security: The department manager responsibility includes oversight of the operational needs of faculty research labs, department teaching programs and student research as well as research compliance involving chemical, biological, radioactive materials and other lab issues; and addressing unusual issues that arise from performing research in remote parts of the world including savannahs, rainforests, and jungles on native wildlife.

Academic management: The department manager supervises the administration of the teaching activities, ensuring that the department meets all deadlines for the offices of the Dean of the Faculty, Registrar, Dean of the College, and the Graduate School. The manager is responsible for the teaching budget; appointments for faculty, postdoctoral researchers, visiting fellows and visiting students; budget for faculty leaves; submissions for faculty summer salary; course and enrollment information; graduate student teaching assignments (AIs); and summer study/research programs. The manager also supervises the administrator who manages the undergraduate and graduate programs; interacts with Registrar, Dean of the College, and the Graduate School to monitor student records, manages graduate admissions for department, and administers graduate student support.

Study Abroad Program: Supervise the administration of Spring/Summer field semester courses in Panama, Kenya and other international remote locations. Administer and negotiate contractual agreements with international program affiliates, with support from Purchasing and ORPA. Ensure staff follow proper procedures in regards to registration, visas, immunizations, travel, evacuation services, export controls, etc.

Grant Administration: Supervise the administration of sponsored research activity for department faculty, ensuring compliance with federal rules and regulations and university policies and procedures. Oversee the proposal process, administration, close out and audit concerns. Responsible for adhering to policies and procedures relating to RCR training, animal research (IACUC), human research (IRB), biohazardous (IBC) and export controls.

Facilities Management: Oversee administrative and renovation needs relating to research laboratories, office spaces, student classrooms and conference rooms. Responsible for operations and maintenance of an off-campus department property.

Qualifications

Position requires:

- Bachelor's Degree.
- 5+ years in a management position that includes supervisory experience.
- Demonstrated leadership, problem-solving and decision-making skills.
- Ability to effectively manage the resources of the department: experience in budget management, oversight of financial operations, and grants management.
- Experience in the supervision and monitoring of staff relations, staff development, and delegation of supervisory responsibility.
- Excellent oral and written communication skills. Verbally and in writing, managers skillfully communicate process and policy information to faculty, staff and students. Managers also must be sensitive to the needs and concerns of faculty, staff, and students and other members of the University in a manner that is professional, objective and easily understood.
- Superior organizational skills and ability to manage multiple priorities.
- Ability to anticipate and initiate appropriate action in support of the Chair and department faculty.
- Excellent interpersonal and customer service skills.
