Overview

Princeton University is seeking an Assistant Director of Internships and Experiential Learning who will join the International Internship Program (IIP), part of the Office of International Programs (IIP, Study Abroad, Bridge Year, and Fellowships) and Experiential Learning. Princeton University is a highly selective private liberal arts university with an undergraduate enrollment of approx. 5,200. The International Internship Program supports Princeton undergraduates who wish to undertake a summer internship abroad. Through IIP, students intern in a variety of not-for-profit and for-profit fields from engineering, research labs, and global health to architecture, human rights, sustainable development, education, the arts, and others. IIP advises students about how to find, apply for, and fund their international internships. IIP engages more than 350 mentors in over 50 countries, and currently sends about 250 students abroad every summer. A renowned and extremely popular internship program, IIP is poised to expand and has created the position of assistant director to assist with its timely evolution.



The successful candidate will be an energetic colleague with an advanced degree and experience in experiential learning abroad. The new assistant director will have excellent use of relationship management systems and database management; the ability to work cooperatively with mentors and providers around the world; experience with students and administrators in higher education; excellent written and communication skills; strong organizational skills and attention to detail; the ability to set goals and complete projects with a high degree of independence; and a willingness to travel.

Responsibilities

Primary Duties and Responsibilities: Reporting to the Director of the International Internship Program, the Assistant Director of Internships and Experiential Learning will collaborate with the IIP Director and the Senior Associate Dean for International Programs and Experiential Learning on all aspects of IIP and on other areas of experiential learning abroad. In addition to tracking experiential learning in and beyond IIP, the Assistant Director will maintain and manage a robust portfolio of internships, from creating and vetting placements to building relationships with existing and new mentors. The Assistant Director will advise students, hold Info Sessions, review applications, deliver pre-departure briefings, monitor student experiences during the summer, assist students with post-internship presentations, and assess student evaluations. The Assistant director will also be collaborating with the director and program coordinator on the expansion of IIP including increasing the number of placements and student acceptances, transitioning to new software systems, and creating regional hubs. The Assistant Director's duties will:
  • Independently manage the work cycle of his/her portfolio of internships. The Assistant Director's internship portfolio will include existing as well as new IIP placements around the world. In this role, the Assistant Director will:
    • Collaborate with Director in vetting and creating new internship opportunities in the various IIP hubs (Uganda, Cambodia, Portugal, and India, Greece, Eastern Europe and others, as IIP moves to create and expand these hubs.)
    • Oversee creating, vetting, and onboarding for-profit placements that stem from collaborations with Princeton's Institute for International Research and Studies.
    • Manage Relationships with mentors: Communication about work responsibilities and other details of the Internship Description Form completed by each mentor, application review, student selection, and summer monitoring.
    • Advise students: Info Sessions and debriefing sessions, interest meetings, acceptance meetings, summer experience monitoring, and placement evaluation.
  • Manage reporting and stewardship responsibilities including donor spring and fall letters, annual report (internal) and annual newsletter for donors, mentors and university partners.
  • Manage the assessment and disbursement of student awards amounts.
  • Lead process improvement efforts to create a relationship management system for IIP employers and explore new technologies to optimize IIP processes.
  • Assist Director in developing Princeton University partnerships as needed.
  • Assist Senior Associate Dean in collaborating with other experiential learning programs at Princeton including but not limited to the new Service Focus Program.


Qualifications

We seek an experienced, capable, and enthusiastic person with knowledge of important principles and issues related to international internship management, and intercultural competency. Applicants are required to have:
  • Master's degree in international relations, international education, higher education, public administration or a related field.
  • At least three years previous relevant work experience in higher education, advising/mentoring undergraduate students.
  • Demonstrated familiarity with international internships models and best practices for internship vetting, management and monitoring. Familiarity in establishing duty of care health and safety guidelines for international internships.
  • Outstanding organization skills and superb attention to detail. Ability to work under pressure and to multi-task in a fast-paced environment, especially during peak times of the year. Keen problem-solving skills.
  • Excellent technology skills: Proficiency with standard office software (word processing, advanced Excel: spreadsheet data management, pivot tables/tableau, presentation, desktop publishing). Proficiency with social media. Desired but not required: experience with Salesforce or equivalent CRM and with Terra Dotta or equivalent data management software.
  • Knowledge of one or more languages other than English; experience living, studying or working abroad.
  • Familiarity with passport/visa advising and visa application processes for both domestic and international students; experience with US Department of State resources and requirements for travelers.
  • Excellent customer service and communications skills, both oral and written. Ability to effectively communicate in a variety of situations, including interpersonal and formal large-group settings. Ability to distill and convey information to multiple audiences (students, parents, mentors, University administrators) and to work in a diverse environment.
  • Ability to exercise good judgment and discretion in dealing with sensitive matters.
  • Ability/willingness to travel to conduct site visits, and represent Princeton University at professional conferences.
  • Ability/willingness to work some evenings and weekends as needed.
